Studio coordination is vital to our day-to-day operations and plays an important role in our continued success. Further information about our company and projects can be found at KEY RESPONSIBILITIES OF THE POSITION: General Administrative Duties � Answer and route incoming phone calls. Greet guests and assist with their travel and transportation needs. Coordinate in-office lunches, FedEx shipping, mail pick up and sorting, filing, data entry, supply purchasing, and errands. Maintain office space, kitchen, storage area, and library by keeping them tidy and organized. Liaise with building management for maintenance and repair issues. Executive Support � Manage principal�s calendar and confirm meeting and appointment details. Provide daily agenda and keep on schedule. Draft and proofread letters, provide driving directions, create expense reports, and assist with daily time-tracking. Travel Coordination � Liaise with traveler and client to confirm meeting details. Book all aspects of travel (flights, hotels, rental cars, etc.) and provide itineraries. Modify or cancel trip details as needed. Coordinate passport renewals and travel visas. Input travel related receipts into expense tracking system. APPLICANTS MUST: Possess a Bachelor�s Degree, preferably in English Language or Literature. Have 2 years of relevant experience, preferably in a design-oriented office. Demonstrate exceptional writing, proofreading, and communications skills. Be personable, diplomatic, articulate, and detail-oriented. Be able to work both independently and as part of a team, and prioritize workload to balance fast-paced deadlines with long-term project follow up. Have office management and/or human resources experience. Have computer/software experience with: Mac operating system, Microsoft Word and Excel, document scanning, Adobe Acrobat, and the iWork Office Suite.
