Executive Assistant - Vedanta Laboratories Job Opening in San Clemente, California - Job Description:
The Executive Assistant for Vedanta Laboratories is responsible for assigned administrative and clerical functions and activities.
Duties and Responsibilities:
To provide administrative support within the Company; duties include:
1. Works on special projects for the CEO and other staff members, as assigned and collaborates with colleagues in the collation of documentation.
2. Is responsible for the application for licensing and certification including ADP, Joint Commission, Community Care applications, Tri-care, etc.
3. Maintains all documentation relating to company certification and licensing including ADP.
4. Maintains all documentation with regards to CLIA Waivers.
5. Assists with the review and implementation of company Policies and Procedures.
6. Assists the CEO with the logistics and organization of training programs, didactic lectures and continuing education.
7. Maintains records with regard to training.
8. Produces written reports.
9. Assists in organizing events.
10. Compiles necessary documents for meetings and notifies staff when meetings are scheduled.
11. Takes the minutes at assigned meetings.
12. Relieves the Receptionist when required.
13. General administrative duties including typing, copying, faxing scanning and printing.
14. Undertakes any other duties and responsibilities as may be determined by the Company.
Qualifications and Experience:
The candidate must have a Bachelors Degree or equivalent 5 years of recent training and experience in the administrative field. They must have experience of working in a fast paced environment and be able to anticipate next steps on projects and tasks to be done in a complete and thorough manner. They must have experience of working in health care administration, be self-motivated, organized/ methodical, have strong administrative skills and be proficient in MS Word, Outlook and Excel.
Skills and Competency:
The successful candidate will possess excellent interpersonal and communication skills (both verbal and written), organizational skills and a proven ability to manage multiple tasks concurrently.
They will have the skills and competency to communicate with people of all levels of the organization, patients and external agencies. They will have a high level of interpersonal skills to handle sensitive and confidential situations. They will be agreeable and professional at all times whilst being able to gather information and refer it to the appropriate member of the team. Accurate information gathering is essential as is the ability to work to tight deadlines and prioritize conflicting demands whilst working effectively.
They will have the ability to listen actively when spoken to and effectively communicate their thoughts to others. They will be sensitive to religious, ethnic and cultural differences in others and show respect and empathy. They will be able to work alone but also in a team, with fellow staff, in the business setting and will actively seek out advice and/or guidance in order to solve problems. They will demonstrate a superior attention to detail and will be able to work effectively with minimal supervision.
The successful candidate will have good time management skills and will actively seek to accomplish tasks and be able to use a variety of methods and ideas to solve problems whilst also being open to suggestions from others in order to find solutions.
