Position Summary : Responsibilities shall include all aspects of lease administration for a specified group of buildings, including the abstracting of leases, rent adjustments based on CPI, pass through billings, monitoring of critical dates, and researching technical issues. The individual will respond directly to tenant?s questions regarding their leases, as well as inquiries about account status and billings. You must be adaptable to various accounting routines, be accountable for all compliance matters of the Owner?s leases and be able to effectively communicate within a team environment, as well as with Clients. Individuals with strong analytical, writing, and computer skills, including Microsoft Office, Kardin, Yardi and MRI are encouraged to apply.
Position Responsibilities:
Abstract all current and new lease documentation for assigned properties and enter them into Yardi and/or MRI.
Prepare tenant account reconciliations annually and as requested
Oversee accounts receivable associated with assigned properties.
Default processing and late fee distribution (alert AVP of delinquencies)
Notify AVP of rent increase letters, including step increases.
Monitor critical dates (renewal, rate increase dates, etc.)
Review rent rolls.
Prepare CAM, real estate tax, insurance billings (including gross ups and application of caps where needed).
Approve Assistant Property Manager?s (APM) cash receipt application report on the day they are received
Approve APM?s cash batches and distribute them to accountants for approval
Ensure proper support and approval for all tenant changes and billing adjustments
Read and correctly interpret lease terms
Enter new leases or amendments into Yardi and MRI
Review and approve APM?s generated monthly tenant billings, and preliminary RENTUP charges to the following month
Ensures APM prints monthly statements no later than the 22nd of each month and sends to tenants
Approve APM?s spreading of credits to charges prior to tenant statement being sent
Review and approve APM?s invoicing for tenant utility consumption and other regular charges.
Prepare and review estoppel certificates.
Prepare and review commercial Tenant income and expense sections of the budget.
Prepare and provide financial analysis & critical reports for Owners.
Other related duties as assigned
Education and Work Experience:
Prefer 4 year college degree and 4 plus years of commercial lease administration experience in large volume tenant portfolios, with year-end pass-through billings and cost pool development.
Knowledge and Skills:
Excellent interpersonal skills and strong time management skills
Effective oral and written communication skills
Knowledge of commercial real estate, especially lease documents, lease language & interpretation
Knowledge of basic accounting principals
Proficient with Microsoft Word, Excel
Extensive experience with Yardi, Kardin and MRI
