Office Manager Job Opening in atlanta, Georgia - Office Manager JOB PURPOSE: The incumbent oversees, plans, organizes and manages the integrated administrative activities of the office. Incumbent directly participates in departmental administrative decision making; establishes, implements and enforces office policies and procedures and sets workflow priorities. Performs tasks which require advanced skills in organization and planning, in-depth knowledge of unit operations and objectives, and overall knowledge of other departments. Additionally, provides high-level administrative support to Management. Responsibilites: 1. Manages daily administrative operations including: organizing office operations and procedures; ensuring compliance with SOPs, corporate policies and procedures; interacting with customers, clients and vendors; and assisting in resolving problems related to the day-to-day operations of the office. 2. Acts as the principal day-to-day administrative and operational liaison with other departments, customers & vendors on behalf of the office. Specifically responsible for coordination of: correspondence, customer account set-up, audits, logistics, and completion of required compliance documents. May also participate or serve on internal or community committees and task forces. 3. Supervises administrative staff to ensure efficient workflow, office productivity and adherence to Supervision responsibilities for administrative and maintenance staff also includes recommendations for hiring, firing, performance evaluation, disciplinary action, training, work allocation and problem resolution. 4. Completes and updates records for EHSMS program, tracks vendor paperwork submittal and conducts audits for transporters and non-material of concern customers. 5. Maintains ROM purchasing and Inventory system: enters new customer accounts and creates purchase tickets and invoices for customers; creates quarterly reports; stays abreast of state programs and make recommendations for procedural changes to meet state requirements. 6. Under the supervision of HR Corporate, the incumbent provides administrative support to the human resources department and is responsible for coordinating documentation and completion of paperwork for the following activities: new hire, benefit administration, payroll, performance review, employee leave, and disciplinary action. 7. Provides routine advice, assistance and follow-up to client departments, employees and/or members of the general public in the application of specified policies, procedures and documentation; coordinates resolution and/or referral of specific policy-related and procedural problems and inquiries; develops, expedites and maintains files, records, and maintains a high level of confidentiality of information. 8. Assists with the implementation of reporting procedures regarding safety issues and works closely with the Field Safety Supervisor to ensure incidents are reported and documented, safety trainings are facilitated and documented and other safety program initiatives are completed. 9. General knowledge of Environmental Health and Safety programs such as storm water and OSHA. 10. Evaluate the work environment on a regular basis to ensure conformity to environmental health and safety protocols with the assistance of managers and supervisors. 11. Ability to take into account Legal and other requirements when establishing, implementing and maintaining the quality, environmental, health, and safety management system. 12. Work with management to create, revise, and implement training that meets Quality, Environmental, Health and Safety standards, legal requirements, and other requirements. 13. Responsible for maintaining records that ensure compliance with Quality, Environmental, Health and Safety standards, legal requirements, and other requirements. 14. Coordinates department programs, seminars, workshops, travel arrangements, special projects, and/or events; may coordinate program and project development and planning. 15. Maintains forecast of office expenses and reports actual and forecasted amounts quarterly. Tracks office supply expenses, maintains appropriate level of supplies/inventory, and seeks ways to reduce expenses. 16. Reports maintenance issues to property management and follows-up to ensure repairs are made. 17. Perform related duties as assigned. MINIMUM QUALIFICATIONS: (The following qualifications can be acquired and demonstrated through experience, education and/or vocational training as noted or as appropriate.) 1. Five (5) years of related experience and/or training. Bachelor�s degree or Associate degree in a related field is highly desirable. 2. Communication skills: Ability to write reports, business correspondence, complete documentation and procedures manuals. Ability to read, analyze and interpret general business correspondence. Ability to effectively present information and respond to questions from individuals, managers, clients, customers and the general public. 3. Mathematical skills: Ability to calculate figures and amounts such as adding, subtracting, multiplying and dividing. 4. Computer skills: Knowledge of various word processing, spreadsheet and e-mail software programs; familiarity with manufacturing software programs, desirable. 5. Work approaches: Routinely interacts with employees within own department and outside the department; routinely interacts with vendors, contractors and customers.
