Cool Springs Plastic Surgery is quickly growing, and we are seeking an experienced and professional Clinical Office Manager to join our team. In the role, the Clinical Office Manager will work under the direction of the Physicians and Practice Administrator to provide management and leadership to our clinical and administrative teams.
The Clinical Office Manager is the first one in and often the last one out. He or she must be on site at least 15 minutes before the beginning of the day and stay until the workday is done.
The selected candidate will be responsible for managing a team of 20+ employees. We are looking for a servant leader, not an authoritarian. If you have experience working in an administrative role at a cosmetic practice, we want to hear from you.
Main Job Tasks and Responsibilities
Hire and train administrative staff
Monitor and evaluate staff performance
Schedule staff to meet operational requirements
Implement and monitor office policies and procedures
Manage insurance contracts and ensure compliance with contracts
Responsible for facility cleaning, hygiene, safety and maintenance
Ensure compliance with current healthcare regulations, medical laws and ethics
Keep track of equipment and devices and manage inventory
Liaise with vendors regarding equipment and supplies
Ensure patient records are current and accurate
Education and Experience
At least three years leading a cosmetic practice including a med spa and surgery center
Bachelor's degree in a related field strongly preferred
Ability to understand the role of every team member and the ability to train / fill in for all admin positions.
Understanding of luxury patient/client expectations and how to meet and exceed those expectations.
Knowledge of accounting, data and administrative processes and principles
Knowledge of human resource management principles and practices
Knowledge of HCFA forms, CPT, ICD 10, medical coding, medical issues and terminology
Knowledge of applicable regulations and state and federal laws
Must possess a strong knowledge of Microsoft Office programs
Knowledge of Nextech practice management software is desirable.
