Order Processing Specialist Job Opening in Orem, Utah - Job Summary:
Provides excellent customer service by using phone, fax and email skills to receive orders and input them into the Company Accounting system. Answers product information and availability questions, processes credit cards and tracks missing shipments.
Essential Job Functions and Responsibilities: The scope of responsibilities may change as Company need and policy requires
Responds to requests for service and assistance. Receives orders by email, fax, phone, or rarely in person, from new or long-standing customers. Answers questions about products, availability and pricing. Obtains freight quotes from Shipping Manager.
Uses the Company Accounting software in the computer to perform the order entry function.
Processes credit card payments when product is shipped.
Provides quotations for supply items such as pens, blades and blade holders.
Responds promptly to customer needs. Investigates customer complaints. Tracks missing shipments. Manages difficult or emotional customer situations. Solicits customer feedback to improve service.
Demonstrates good interpersonal skills. Focuses on solving conflict, not blaming. Listens to others without interrupting. Keeps emotions under control and remains open to the ideas of others and tries new things. Maintains confidentiality.
May pull items for orders from warehouse stock and prepare for shipping.
Prepares invoices for mailing verifying accuracy of all data.
Interacts well with coworkers, customers, vendors and others by sharing ideas, constructively addressing problems and issues, and by finding mutually acceptable and practical business solutions. Accepts constructive criticism. Maintains regular attendance. Respects the diversity of our work force, clients and vendors.
Follows directions from supervisor. Keeps commitments by keeping others informed of work progress, timetables and issues.
Supervisory Responsibilities: This job has no supervisory responsibilities.
Education and/or Experience: High school diploma or general education degree (GED) and six months related experience and/or training; or equivalent combination of education and experience.
Language Skills: Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Reasoning Ability: Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
Computer Skills: To perform this job successfully, an individual should have knowledge of Company Accounting software; Spreadsheet and Word Processing software.
Other Skills and Abilities: Requires good oral communication - Speaks clearly and persuasively in positive or negative situations; listens and gets clarification; responds well to questions.
Job Type: Full-time
Salary: $13.50 /hour
