Convention Services Manager Job Opening in Chattanooga, Tennessee - Summary:
Responsible for the management of all spcects and functions of the Convention Services department in accordance with hotel standards. Coordinates arrangements and details for clients? functions.
Essential Duties & Responsibilities:
Maintain complete knowledge of
Daily schedule group functions, times, locations, amount of people, and specified requirements
Location of al hotel function space and name of rooms
All styles of meeting and banquet room settings
Correct maintenance and use of equipment
All departmental/hotel policies and procedures
All safety guidelines
Instruct designated personnel to rectify any deficiencies.
Establish par levels for supplies and equipment.
Requisition linens/skirting required for business and assign staff to transport such to the storage areas.
Review sales & labor costs for previous day; resolve discrepancies with Accounting. Track actualities against budget.
Retrieve and organize Banquet Event Orders (BEO?s) according to departmental standards. Make note of chances as received from Catering and post function sheets for the next 7 days.
Review all group resumes and group meeting requirements and organize into chronological order.
Document daily set-up requirements according to departmental procedures and attach respective diagrams. Prepare diagrams as needed.
Inspect the preset scheduled function areas/room for cleanliness, working conditions, and proper furniture/equipment set up; rectify any deficiencies with respective departments.
Conduct pre-function meeting and review all information pertinent to set-up and service of group.
Monitor and ensure that functions are set up, refreshed, and broken down in compliance with schedules times and departmental procedures.
Meet group coordinator/host(ess) prior to function, make introduction and ensure that all arrangements are agreeable.
Coordinate groups requests for addition/changes to scheduled arrangements and in accordance with departmental standards.
Observe guest reactions and confer frequently with staff to ensure guest satisfaction.
Promote positive guest relations at all times.
