Office Manager Job Opening in Pittsburgh, Pennsylvania - Practice/Office Manager for 5 Locations - Pittsburgh, Greensburg, Plum, Washington, Charleroi
AAR, LLC is a growing PA-licensed Substance Abuse Treatment facility with five locations. We are seeking an organized, energetic manager with recent medical and/or behavioral health billing and supervisory experience. Applicants that do not meet the minimum experience and training will not be considered. This is a leadership position within the company.
Our ideal candidate can make positive changes in the offices with the ability to help lead the company, improve processes, procedures, etc. to streamline and/or improve operations in collaboration with the team. Coordination of various staff/processes within the office to optimize the efficiency of the facility are within the ideal candidate's scope and range.
Core responsibilities include: Manages the day to day operation of the facilities including front and back office functions. Monitor and resolve billing/claim issues using Delphi, Office Ally Clearinghouse and other resources. Manages and monitors key financial and revenue including staff/doctors hours, resource allocation, expense budget, client volumes and the revenue cycle process. Works closely with accountant and CEO/COO to provide regular reviews of reconciliation of monies being collected, billed and deposited. Works with clinical manager and therapists to resolve client issues or concerns. Ensures quality and improvement by monitoring financials and addressing deficiencies. Works collaboratively with physicians, leadership, vendors, consultants, office staff and therapists to accomplish facility goals. Ensures compliance with all regulatory requirements. Understands working with insurance companies, contracting with them, negotiating, rates, etc. The Office Manager serves as a member of AAR's Executive Team with responsibility for administration and ultimate success of the company in conjunction with the Clinical Manager and AAR's owners.
Job Requirements: An minimum of an associate degree and work experience or equivalent management experience within a drug/alcohol treatment or behavioral health facility preferred. May substitute solid health care office management and supervisory experience in lieu of degree and treatment facility experience. Knowledge of medical terminology, insurance theory and ICD-9/-10 and CPT coding/billing required. Position is self-starting with little supervision. Must take the initiative to solve problems independently, have excellent leadership skills, identify issues and offer solutions to executive team, set priorities and develop ideas which will benefit the facility. Must maintain confidentiality. The ideal candidate will meet or exceed assigned duties including: supervising office staff, conducting performance reviews, addressing performance issues, managing client registration and orientation, chart management, releases, billing and co-payments, scheduling, inventory/ordering supplies, client and family inquiries and telephones, email, etc. with calm efficiency. The ideal candidate is reliable, committed to doing what it takes to see results, motivated, works well under busy conditions, detail-oriented and has solid communication skills and the ability to address and resolve issues without conflict.
The candidate must have the ability to delegate, integrate multiple schedules, manage medical reception and billing and maintain the flexibility to facilitate other staff efforts, and assist our therapists and doctors where necessary. Organizing workflow, ensuring billing is completed and claim issues addressed, serving as the primary point of contact for staff and clients with billing questions/issues, and helping to maintain both electronic and original charts are core duties, among others.

Required experience:
Recent billing experience using ICD-9/-10 and medical billing/coding experierence
Supervisory experience
Experience with levels of care
Experience with independently managing healthcare related behavior health / drug and alcohol treatment offices.
Excellent communication skills, team player, able to resolve problems and think on feet
Excellent customer service skills
Flexibility and adaptability
Ability to arrange coverage with staff or work evenings/weekends if needed for call-offs, etc.
Experience with standard office equipment
Experience with PC's including use of Quick Books, Word, Excel and Outlook
Ability to manage direct reports and develop the staff schedule
Daily financial aspects of the facility, with strong focus placed on the client experience (intakes and keeping existing clients)
Strong leadership and accessibility to staff members and doctors on accomplishing goals and related tasks.
Ability to review and report back to CEO/COO business updates that identify shortfalls and opportunities.
Ability to schedule, lead and attend regular staff and executive team meetings.
Ability to learn policies and ensure that the facility policies, employee manual, procedures and processes are being adhered to by staff.
Ability to train staff on policies and procedures
Willingness to identify and share ideas for continuous improvement
Compliance with all policies within the AAR Employee Manual, payment policies, Code of Conduct, HIPAA, PA Department of Drug and Alcohol, etc.
Responsibility for ensuring staff is maintaining the client call back program for intakes, follow-ups, confirmations, no-show, etc. including ensuring the clients understand the client orientation manual.
Ability to maintain a process to ensure billing is done within 24 hours of all services.
Ability to make staffing and organizational structure recommendations.
Ability to travel among all locations as necessary.
