Ensures smooth functioning of all administrative duties as assigned including mail processing, development and maintenance of files (including scanning and records archiving), copying and typing correspondence, tracking pertinent information, data entry, outbound telephonic follow up and inbound inquiries.
TYPICAL WORKING CONDITIONS: Office based position; subject to both inside environmental conditions (temperature fluctuations of air-conditioned office) and outside environmental conditions (weather fluctuations). Subject to noise from various types of office equipment, including but not limited to: typewriters, copy machines, faxes, printers, computers and 3rd party electronic medical records applications. Incumbent will work in an office setting, external physician office settings and other locations where meetings, demonstrations, evaluations and training sessions are held. May require travel via own automobile or day/overnight travel to the Neighbor Islands. May be exposed to chemicals and/or fumes (e.g. copy toner or cleaning fluid).
TYPICAL MENTAL, PHYSICAL AND COMMUNICATION DEMANDS:
1. Ability to multitask and function in a high volume/busy environment. Ability to work calmly under pressure and appropriately plan, prioritize, organize and carry out tasks and responsibilities. Ability to work under minimal supervision.
2. Ability to learn new skills and processes in a short amount of time.
3. Good organizational skills, attention to , ability to set priorities, meet deadlines and establish effective work relations with management and staff.
4. Essential: prolonged sitting, finger dexterity for keyboard operation and document scanning and filing; hearing and speaking skills for telephone contact, viewing skills to work from video display terminal and to file documents.
5. Frequent: stooping, bending, kneeling and crouching required for essential filing tasks.
6. Occasional: Standing, walking, crawling, climbing stairs, twisting body, reaching at shoulder level or above, of maximum 25 pounds for 100 yards.
7. Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to generate routine reports and correspondence.
8. Good command of the English language, grammar, spelling and punctuation. Ability to communicate tactfully and effectively in English, both orally and in writing.
9. Pleasant telephone manner and customer relations skills.
10. Asks clarifying questions when necessary when working with team members and clients.
MINIMUM QUALIFICATIONS:
A. EDUCATION AND/OR EXPERIENCE :
1. High school diploma or equivalent.
2. Two (2) years related experience in an office setting; or equivalent combination of education and experience.
3. Experience working in a healthcare setting, medical billing or medical records office and a basic understanding of health insurance plans preferred.
B . MATHEMATICAL SKILLS :
1. Ability to add, subtract, multiply and divide in all units of measure using whole numbers, common fractions and decimals.
2. Ability to compute rate, ratio and percent and to draw and interpret bar graphs.
C . REASONING ABILITY :
1. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
2. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
3. Ability to understand basic billing and coding concepts, basic medical terminology, pathology, anatomy, and physiology.
D. LICENSES, CERTIFICATIONS, REGISTRATIONS:
1. Current/valid Hawai?i Driver?s License.
2. Proof of Hawai?i No-Fault Auto Insurance.
3. Clean driving record as evidenced by a recent driver?s abstract (to be provided by the employee).
E. OTHER SKILLS AND ABILITIES :
1. Accurate typing of 50 wpm and proficient operation of office machines such as personal computer, typewriter, transcription equipment, copy machine, calculator, FAX machine, multi-line telephone, etc.
2. Knowledge and/or ability to operate mobile scanners or high volume OCR scanners.
3. Knowledge and/or ability to proficiently operate a computerized word processing system. Prior experience with Microsoft Word, Excel and Access for windows preferred.
