Administrative Assistant Job Opening in Mobile, Alabama - Mitternight, a Local Fabricator, are seeking a professional skilled individual for an Administrative Assistant position for its facility located in Satsuma, AL.
This is a skilled position requiring the employee to perform high level, detail-oriented administrative duties. We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company?s general administrative activities.
Must be a self-starter that can handle a fast-paced job and be able to prioritize, multi-task, and understand deadlines. Must have good phone and excellent people skills
Responsibilities
Assist in project bidding process, which includes reviewing frontend documents, uploading documents and specifications into our internal system and shared sites, communicating with engineering and estimating department regarding contract documents and generating all bid packages.
Print drawings, specs and bid documents.
Enter bid information and track progress in Pipeline database.
Prepare required bid documents.
Submit proposals and bids.
Upload bid documents to server.
Transmit plans & specifications to subcontractors and vendors.
Track correspondence, addendums, and other documentation for RFPs and bids.
Update and distribute bid inquiry log.
Deliver proposal documents and submittals to clients.
Maintain bid results file.
Collect or prepare any required pre-bid review meeting documents.
Schedule pre-bid, bid review and project hand-off meetings.
Create, prepare and/or process all Contracts, Subcontracts and Change Orders.
Log in all documents/ drawings that come in from the customer and sub-vendor on all jobs
Log all documents/ drawings that go to customer and sub-vendor on all jobs
Submit design calculations to customer for approval, certified and final
Type drawing submittal letters for drafting
Make flight, hotel, car and dinner reservations
Compiles and maintains control records and related files to release blueprints, drawings, and engineering documents to manufacturing and other operating departments: Examines documents, such as blueprints, drawings, change orders, and specifications to verify completeness and accuracy of data.

Requirements
High School or Equivalent
3+ years professional office administrative experience
3+ year accounting experience
Extensive use and high proficiency with Microsoft Office Suite including Word, Excel, Outlook and PowerPoint, and document sharing programs like , Dropbox or Google Drive.
Use of an ERP or a project management system
Knowledge of office management systems and procedures
Accuracy, attention to detail, well organized, tidiness, and the ability to multi-task.
Excellent time management skills and the ability to prioritize work
Attention to detail and problem solving skills
Excellent written and verbal communication skills
Professional demeanor and well spoken
