The Office Manager will perform the following duties:
Verifying, calculating, and processing payroll including prevailing wage, commissions, deductions, paid time off, etc.
Assisting employees with 401k enrollment and filing necessary forms to ensure company compliance
Assisting with Human Resources duties
Occasionally reading through RFPs and compiling responses/bids
Maintaining appropriate company licensure
Assisting with property management such as billing tenants and acquiring necessary financial information for mortgage companies
Keeping meticulous records of Accounts Payable and Accounts Receivable
Receiving deposits/processing credit card transactions
Ensuring that vendors receive timely payment
Ensuring that customers are invoiced appropriately and following up when necessary
Filing necessary payment applications, releases of liens, etc. for requesting contractors
Ensuring that all credit card statements are reviewed each month and paid on time
Distributing necessary documents to Admin Asst. to be gathered for outside Accountant
Complying with audits
Preparing monthly and quarterly usage reports for state contracts held
Working with insurance companies to complete audits/inspections for annual discounts
Assisting with other audits that may arise from other bureaus
Service contract administration
Consistently updating database of customers and expiration dates
Obtaining quotes needed from vendors
Using formulas to calculate quotes for customers
Periodically ordering jobsite equipment
Approving office supply orders
Filling in for Admin. Asst. in their absence (such as scheduling, answering phones, etc.)
May occasionally be requested to attend mixers, networking events, etc. outside of normal business hours.
After obtaining a thorough understanding of the office processes and procedures, this position will be expected to delegate to administrative and receptionist personnel as necessary

Requirements:
High School diploma or equivalent required. Associate?s Degree preferred.
Reliable transportation.
Minimum three years? administrative experience.
Experience with financial systems and CRM software preferred.
Highly proficient with Microsoft Office Suite including Word, Excel, and Outlook. THIS IS A MUST.
Knowledge of the telecommunications and/or video surveillance industry preferred. Oral and written communication skills, management skills, time management skills, excellent telephone etiquette and customer service, professionalism, diplomacy, time management skills, proficiency with the Microsoft Office suite.
