Office Manager/Bookkeeper Job Opening in Hackensack, New jersey - O&S Associates, Inc. is seeking an Office Manager with Bookkeeping experience to join our multi-office Engineering and Architectural firm. As the Office Manager, the candidate will be responsible for performing a wide variety of duties to support the office in running smoothly and efficiently. The ideal candidate should possess strong organizational and time-management skills, excellent verbal and written communication skills, and be flexible enough to work on a variety of projects on a daily basis. Typical duties for this position may include:
- Drafting and distributing company-wide memos on behalf of the President
- Ordering office supplies and equipment
- Reviewing invoices from vendors and approving them for payment
- Coordinating office events such as lunch meetings, presentations, and parties
- Organizing and maintaining office files
- Screening incoming calls, letters, email, and visitors
- Other duties required to support the business
At least 5 years of bookkeeping experience is also required. The position will require reviewing employees' submitted time and expenses in an online timekeeping program and flagging errors for review by management. The Office Manager will also assist the President and Managers in preparing invoices. Strong knowledge of QuickBooks Online a must. Knowledge of job costing, time-and-materials billing a plus. Ideal candidate has the ability to work independently to improve accounting and reporting methods for management. Strong analysis skills and knowledge of computer systems (Microsoft Word and Excel) is required.
Candidates should possess a Bachelor's Degree or Associate's Degree with 5 years of related experience.
This is a full-time position is located at our Headquarters office in Hackensack, salary is very competitive and is based on experience and demonstrated company also offers generous medical and retirement benefits, 401K match, and profit-sharing.
