POSITION SUMMARY
The Account Administrator ? Distribution Specialist supports the Director of Financial Operations in carrying out the responsibilities of the Financial Operations Department. This position manages monies in the Liquidity Account to fund grant recommendations and collect administrative fees. The individual works under close supervision, but additional responsibilities may be assigned with demonstrated skill.
ESSENTIAL RESPONSIBILITIES
1. Works with Grants Department to ensure sufficient funding is available in liquidity account to issue grants.
a. Receives communication from Grants Department confirming all grant recommendations.
b. Researches FIMS data to determine if sufficient funds are available.
c. Contacts Financial Advisor to request transfer of funds into the account for those accounts with insufficient funds in liquidity.
d. Follows up with Financial Advisor if a funding request is outstanding, after the initial request.
e. Notifies Grants Department when grant recommendation can be processed and paid.
2. Contacts Financial Advisors to request transfer of funds into liquidity accounts to cover administrative fees when fund is first established and then on an annual basis.
a. Calculates amounts needed for establishment of liquidity account and for replenishment.
b. Prepares and sends communication to Financial Advisors to request transfer of funds.
c. Follows up with all large accounts whose administrative fees are manually charged to ensure fund balance is sufficient.
d. Processes requests for transfer to liquidity account for DAFs with unique funding arrangements.
e. Tracks progress of request and follows up on outstanding requests.
3. Reconciles Transfers & Receivables Account to ensure general ledger reflects actual account activity.
a. Performs daily comparison of outstanding requests to funds received.
b. Performs monthly and quarterly reconciliation of Transfers & Receivables account to Outstanding request account
4. Performs such other accounting, financial or administrative tasks as may be required from time to time as directed by Director of Accounting.
5. Carries out responsibilities with an understanding of the importance and culture of AEF.
SKILLS and QUALIFICATIONS
Accounting or bookkeeping experience preferred
Proficient in Microsoft Office, intermediate skill in Excel
Ability to prioritize multiple projects
Strong attention to detail, organized
Phone, faxing and scanning skills

Salary: $38,000.00 to $44,000.00 /year
