Registrar Job Opening in West Warwick, Rhode island - The Office Manager/Registrar is part-time to begin and is primarily responsible assisting all departments in the daily operations of the school including but not limited to, properly addressing and routing general inquiries and correspondence from prospective, current and former students and employees, scheduling appointments, ordering books and supplies, maintenance of office equipment and student files, and data entry of attendance, grades and schedules Also for creating and distributing student schedules, tracking attendance, monitoring grade entry, distributing grade transcripts and diplomas, preparing student change request forms, and managing contact with students and staff with regards to scheduling, attendance and grades.
A more detailed description of duties is outlined below:
1. Answer phones, route calls to proper departments, and record phone messages.
2. Greet visitors and walk-in appointments.
3. Responsible for proper opening and closing of the building when scheduled.
4. Handle student and teacher inquiries and requests.
5. File student paperwork and records.
6. Record and forward leads to Admissions Department.
7. Responsible for scheduling appointments for all departments.
8. Record and forward student payments to Accounting Services.
9. Handle student and teacher inquiries and requests.
10. Input new enrollment data in student database.
11. Create, input and distribute student schedules.
12. Print and distribute weekly attendance rosters.
13. Track daily receipt and input of attendance.
14. Monitor inventory and order school supplies.
15. Organize and stock student, teacher and administrative office areas.
16. Monitor, order, pick up and stock food/ and beverage supplies for vending machines.
Report and resolve maintenance problems.
17. Assist, attend, and participate in orientation, graduation, and all student functions.
18. Collect, grade and track basic skills assessment exams.
19. Order and return textbooks and other course materials and equipment.
20. Maintain contact with active students not currently attending classes.
21. Report attendance issues to the Director.
22. Meet with current students regarding status, program and division changes.
23. Track grade entry and create grade binders.
24. Print and distribute grades to students.
25. Notifying teachers when grades are due. Completing and recording grades.
26. Fulfill and log former student transcript requests.
27. Prepare official transcript, awards and diploma for graduated students.
28. Assist, attend and participate in orientation, graduation, and all student functions.
29. Attend weekly faculty and staff meetings.
30. Assist and attend advisory council annually.
31. Attend quarterly staff development training sessions.
32. Assignments as needed.
