POSITION DESCRIPTION
Assistant Catering Sales Manager
PRIMARY PURPOSE : At the direction of the Director of Sales and the Catering Sales Manager, the Assistant Catering Sales Manager will work closely with meeting and special event clients to ensure that catered events at the hotel run smoothly and efficiently. This may involve answering inquiries & incoming calls, giving property tours, coordinating with other departments or outside vendors, as well as other duties as required.
RESPONSIBILITIES
Book and detail all ?dry? meetings (no food/bev) as well as groups of 10 people or less.
Assists Sales Department with fulfilling guest?s needs. Clarifies and firms details of meeting rooms, functions, menus, and audio visual requirements of group bookings.
Maintains & updates all active client records.
Uncovers as much information as possible from the meeting planner regarding the group?s habits in order to aid other hotel outlets in their staffing, i.e. Front Desk.
Supports Sales Department with any deliveries, shipments and disbursements of all group equipment and collateral.
Updates functions (in book, calendar, or computer) as group?s agenda becomes finalized in order to minimize space needs and free space for other sales opportunities per request of Sales Management. Notifies appropriate Director/Sales Manager of any changes or additions to outlined agenda.
Prepares group resumes per specification
Give property tours, return phone calls, file, create sales kits, apply reward points, create group or preferred rate one-click link, and send e-mails.
Attend specific sales meetings and/or property specific meetings
Log in pick-up of room nights, food & beverage, after event has actualized (Weekly) in sales database system.
Must be aware of entire hotel operation.
Conduct Hotelligence research
Follow up with group blocks prior to cut off date with group room pick up and confirming group cut-off date.
Enter rooming list in reservation system.
Conduct e-Commerce review and research upon request
REQUIREMENTS
Minimum High School Diploma; training, experience and/or education in Hospitality Sales is preferred.
Prior experience working in a Hotel environment
Proficient in Microsoft Office (Outlook, Excel, Word, etc.)
Prior experience supporting a team preferred
Must be flexible in work hours to accommodate last minute changes in scheduling
Must have strong interpersonal and communication skills to engage and interact with associates and guests
Must be detail oriented in supervising staff, inspection of facilities and completing assignments.
JOB SETTING AND PHYSICAL DEMANDS
Employees in this position work primarily indoors. To perform the job successfully the candidate must be able to use a computer and other standard office equipment. Candidate is expected to effectively communicate with the various departments in order to ensure customer satisfaction. Fluency in the English language and the ability to speak, hear, read and write are required as is the ability to work any hours/days of the week necessary to meet business requirements.
