Office Manager (Bookkeeper)

Office Manager (Bookkeeper) Job Opening in Kaysville, Utah - Manages the day-to-day running of the business office.
Handles all business and financial related phone calls.
Responsible for accounts payable and receivable including grant billing on-time.
Works monthly with CPA to reconcile bank accounts (credit, debit and payroll).
Tracks in-kind donations in QuickBooks and maintain logs.
Manages and tracks gift card log and distribution of gift cards to case managers.
Maintains a secure, accurate and effective filing system in accordance with audit requirements.
Perform other duties as assigned.
Payroll and Liabilities
Completes all aspects of payroll and payroll liabilities.
Submits bi-weekly IRA contributions to investment firm.
Under the direction of the Executive Director, prepares quarterly payroll taxes and year-end tax forms and requirements on time.
In coordination with the Director of Operations, maintain and update all insurance payments and deductions involving Safe Harbor staff in QuickBooks.
Budgeting and Financial Responsibilities
Under the direction of the Executive Director, helps to create and monitor budget spreadsheets and financial reporting requirements including all expenditures, income, and quarterly financial reports for each grant.
Under the direction of the Executive Director, develops, updates and monitors overall organizational budget.
Under the direction of the Executive Director, provides DCCAV financial committee members with correct monthly and timely financial reports as requested.
Works effectively with the CPA?s and Audit Firm as it conducts professional support services for the center including the year-end audit.
Under the direction of the Executive Director, responds to and supports requests from grant administrators annual grant audits.
Under the direction of the Executive Director, works collaboratively with the Evergreen?s Committee to support the financial aspects and details of the annual fundraiser.
Under the direction of the Executive Director, assist with the financial planning of any capital expenditure projects.
Coordinates the yearly renewals on all corporation documents including business license, building licenses, tax exempt renewal, etc.
Grant and Contract Compliance
Maintain grant contract compliance and participate in required trainings for financial reporting purposes.
Work with the Grant/Fund Coordinator and Executive Director on grant proposals, program budgets, and expenditure updates.
Submit annual audit to all required entities including the State Auditor?s Office and grant administrators.
Maintain grant billing schedule throughout the audit year, and compile and submit correct and timely monthly/quarterly financial reports.
Management and Collaboration
Attend and participate in regularly scheduled administrative, staff, and Board meetings as assigned.
Some travel and occasional weekend days and evenings required.
Report to the Executive Director.
Qualifications
Minimum two years of formal education in the field of accounting and or bookkeeping. Past work experience of 3-5 years may replace the formal education requirement.
Strong proficiency and knowledge of QuickBooks and Microsoft Excel.
Good organizational skills and attention to detail.
Sound knowledge of accounting practices.
Excellent communication and problem solving skills.
Ability to work independently and without direct supervision.
Able to make clear and concise decisions often under pressure.
Must pass a background investigation check (BCI) and provide copies of current Utah driver's license or ID, and social security card.
Preferred Qualifications
Demonstrated knowledge of grants, grant reporting, and grant administration, and audit requirements.
Bachelor?s degree in Accounting, Finance, or related field.
