Accounting Payroll Specialist Job Opening in Green Bay, Wisconsin - Position Summary:
Responsible for the daily accounting operations for Pure-Aire including but not limited to A/R, A/P, and fleet management. Responsible for also supporting Human Resources in administering payroll and other special projects as assigned.
Essential Functions:
The list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities, as management may deem necessary from time to time.
Responsible for Pure-Aire A/P, A/R, invoicing, and bank reconciliations; assisting the Controller in the creation of balance sheets and income statements.
Responsible for QDS (Fleet Management Company) A/P, A/R, invoicing, and bank reconciliations.
Maintain company vehicle files and ensure vehicles have proper registration, licensing and inspections performed in accordance with DOT/company vehicle policies.
Maintain company driver files.
Requests and maintains current certificates of insurance for all outside sales people.
Prepare semi-monthly payroll including of hours worked. Ensure proper approvals have occurred. Maintain and distribute overtime reports.
Assist in timely resolution of Pure-Aire warranty claims process.
Tracks and maintains candidates on the Company?s Affirmative Action logs.
Prepare monthly Sales & Use tax returns for multiple states.
Works with Controller/Human Resources to maintain third party websites to ensure we are compliant with our customers? requirements (PICS, ISNetworld, Ariba, First Verify, etc.).
Reconciles credit card statements to bank account and general ledger. Ensure proper approvals have occurred.
Assists in the preparation of air/leak audits performed by technicians.
Serves as a backup to affiliates Accounts Payable position, as needed, which includes but is not limited to coding and entering vendor invoices and running reports, doing weekly check runs, mailing checks and filing copies attached to vendor invoice, resolving PO discrepancies, and entering new vendors into Equipsoft.
Serves as a backup to affiliates Accounts Receivable position, as needed, which includes but is not limited to handling daily deposits and applying them to customer accounts, running credit checks on potential customers, entering new customer, printing customer invoices daily and sending them to customers, filing customer and PM invoices, entering P.O. freight as notes on customer orders, writing up P.M. maintenance sheets, reviewing open orders twice a month, invoicing UPS orders, and processing credit card payments.
Supports and follows all Company policies and procedures and maintains confidentiality in daily work activities.
Has excellent attendance, is punctual and possess a positive attitude.

Qualification Requirements:

Bachelor's degree in accounting or business administration, or equivalent business experience is preferred; however, a two year Associates degree is required.
A minimum of three years of experience in Accounting, Sales and Use Tax, and payroll administration.
Proficient with Microsoft Office Word and Excel.
Organizational skills with attention to detail.
Problem-solving skills that include reasoning ability, mathematical ability and logical thinking skills.
Must keep accounting and payroll information confidential and secure.
Demonstrate solid organizational skills with the ability to multi-task and be a self-starter.
Ability to effectively communicate, both in writing and verbally, with people of various educational and technical backgrounds, both inside and outside the company.
Physical Demands:
The employee must seldom lift and/or move up to 25 pounds.
Must wear and use proper PPE at all times when in the shop/warehouse area.
