Finance/HR Assistant Job Opening in Billings, Montana - GENERAL JOB DESCRIPTION:
As a member of the LIFTT Administrative Team, the FHR Assistant primarily supports the following areas: financial, human resources, and physical infrastructure. This position will report to the Finance Manager. The FHR Assistant is responsible to promote consumer directed services to persons with disabilities within LIFTT?s eighteen county service area and shall focus his/her work complimentary to the spirit and intent of the independent living philosophy.

Knowledge and 2-4 years of experience with accounting and bookkeeping procedures, including:
Data entry and billing experience
Record keeping and management of filing sytems
Preferred :
Experience with the nonprofit organizations? requirements
Experience with grant funded projects
Human Resources Minimum Qualifications:
General knowledge of human resources operations and record keeping practices.
Knowledge of ADA rights and how they can be appropriately applied in workplaces.
Experience and skilled in providing information to; and interpreting policies for supervisors, and front-line staff in written form, e-mail, and/or in person.
Some experience with Benefits and Payroll administration
Other Required Qualifications:
A personal experience with a disability as recognized by the ADA; and/or experience providing direct services to individuals with disabilities or disability related issues
Excellent oral and written communication skills as well as excellent interpersonal and organizational skills
Highly skilled with both internal and external customer service delivery, via telephone, email/memo and in person.
An ability to work productively both individually and as part of a team
Knowledge of disability rights and Independent Living Philosophy or the willingness to learn
An insured vehicle and valid driver?s license or ability to arrange own transportation is required
Ability to pass a background check is required
Knowledge and ability to effectively use technology based financial systems
Demonstrated skill in office related work required
ESSENTIAL JOB FUNCTIONS:
Employ professional judgement and continue professional development
Participate in staff meetings, work groups, and committees
Identify and participate in tranings to advance knowledge and skills
Participate in other trainings, committees or special projects as directed by Finance Manager or Executive Director
Perform all accounting procedures as assigned by the Finance Manager in an accurate and timely process
With oversight; assist with entering financial information into the accounting program, consolidating vendor items, printing checks
With oversight, complete deposit slips and record cash receipts
With oversight, assist with both LIFTT and PCA payrolls
Assist administration in the budget development process
Assist with coding incoming accounts payable to the proper cost allocations and forwarding to the Executive Director for review and approval.
Ensure all purchasing invoices are approved by the Executive Director
Assist with maintaining vendor files and chart of accounts
Assist with generating Monthly Financial Reports for all and providing cash flow information to the Executive Director
Ensure that all components of payroll related activities are completed in an accurate and timely manner:
Responsible for reviewing time sheets for accuracy
Responsible for entering payroll information into the accounting program, ledger sheets, and printing payroll checks as needed
Assist with maintaining accurate filing of records
Provide support for PCA payroll
HR Responsibilities:
Responsible to complete forms for HR reporting requirements including, but not limited to: OPA, unemployment verification and social security reporting
Maintain and ensure PCA files are current and include the correct documentation
Maintain employee personnel files as required for I-9 and W-4 documentation (Executive Director maintains all other personnel data)
Assist Finance Manager and Executive Director with other HR related tasks, including but not limited to: PTO tracking, staff orientation, retirement account and medical benefits, and other duties as assigned
Support Agency Operations:
Maintain and facilitate office inventory
Provide back up front desk duties as needed
OTHER JOB FUNCTIONS
Work with outside auditors as needed
Maintain confidentiality of both consumer, and LIFTT, Inc. information
Abide by the policies and procedures as outlined in the Employee Manual
Maintain positive, appropriate, and professional interpersonal relationships with staff, peers, consumers, volunteers, vendors,a nd other stakeholders
Other duties as assigned
