This position serves as an Administrative Assistant with the Office of Personnel & Operations. This position has multiple key duties, including assistance with the payroll & benefit administration for judicial officers, assisting the communications team, assisting the Fiscal team, and being the first point of contact for persons contacting the administrative and other offices of the Indiana Supreme Court.
Essential
Performs personnel, communications, fiscal and administrative support activities for multiple managers. Responsibilities include, but not limited to:
Learn and implement procedures for payroll & benefit administration of judicial officers as assistant to payroll and benefit coordinator
Handle assigned tasks from Office of Communication, Education and Outreach in support of programs, including editing, distribution, and operating production printer
Assist with additional tasks/projects as requested, such as special events and research
Screen and field phone calls for the Indiana Supreme Court central line, including voicemail
Schedule and manage conference room(s) reservations
Direct callers to sources that will best serve the caller?s needs
Greet every visitor and assist in directing to appropriate staff member and/or meeting room
Order and maintain all office supplies needed to effectively and efficiently run the office
Maintain post meter machine, copiers, and production printer; including supplies on administrative floor
Handle travel and reimbursement requests for administrative staff
Serves as a Receiver in the PeopleSoft system Log deposits in the cash book and provide information and checks to the Fiscal Department
Courier trips to the Auditor and Treasurer offices on behalf of Fiscal and Personnel & Operations
Qualifications:
Three (3) years? work experience performing administrative support; office management; program support; or accredited college training in a related field. Bachelor?s degree in business, human relations or communications preferred.
Demonstrated ability to maintain confidentiality
Extensive knowledge of Microsoft Office products, intermediate to advanced level
Working knowledge of SharePoint, or ability and willingness to learn
Working acknowledge of PeopleSoft Financials, or ability and willingness to learn
Excellent verbal and written communication skills, required
Ability to use tact and diplomacy when dealing with the needs, problems, and/or concerns of other department staff, outside agency personnel, and/or the public
Demonstrated ability to follow through on tasks, pay attention to details, and work independently, sometimes amid ambiguity
Proven ability to exercise discretion in handling confidential information and materials in a professional manner
Knowledge of proper spelling, grammar, punctuation, and sentence structure to ensure that written materials prepared and reviewed are complete, concise, and error-free
Ability to arrange and coordinate meetings (including space and equipment)
Self-starter with excellent time management and organizational skills; ability to meet deadlines
Ability to identify information, materials, and resources needed to complete a project or assignment
Ability to plan and carry out detailed logistics for small events and meetings
Possess strong problem solving skills
Extensive knowledge of office practices, etiquette, procedures and programs
Ability to use and operate a variety of basic office equipment
Ability to lift and carry items in excess of 15 pounds
Must be able to walk distances in excess of half-mile twice
Must exercise absolute confidentiality; avoid conflicts of interest and the appearance of conflict of interest, abide by the Employee Handbook and Judicial Code of Conduct. Must be willing to submit to a criminal background check.
