Dental Office Manager Job Opening in Grove, Oklahoma - We want you on our growing team! State of the art dental practice is seeking an experienced Office Manager for our enthusiastic and dedicated team of professionals.
Duties and Responsibilities:
OPERATIONS
Maintains GLD (Grand Lake Dental) brand in all aspects of the business (in and out of the office environment)
Educates and motivates support staff to achieve excellent customer service and patient care from services rendered by the practice staff
Coordinates continuing education events
Keeps GLD in compliance with health regulations and OSHA
Assures that the practice property is clean, professional and well-kept and that all clinical and office equipment is kept in proper working order
Sets the performance standards for the office staff, ensures patient care is provided in the manner endorsed by the practice
Teaches and trains case presentations techniques to staff, as needed, to enhance effectiveness
Answers questions related to treatment and discuss in detail the doctor?s treatment plan
Conducts monthly staff meetings and creates training segments for staff meetings upon request by the doctor
Responsible for all day-to-day operations
Keeps staff informed of all business matters
Acts as a liaison between doctor, patients, and staff concerning problems and complaints and attempts to resolve the matter(s)
Attends all meetings
Efficiently manages productivity and profitability of the office
Builds rapport with vendors and representatives
Manages business accounting activities such as accounts receivable, accounting reports, budgeting, outstanding claims, and any reports needed by GLD
Oversees patient care by scheduling appointments, coordinating financial arrangements (billing and insurance), maintaining patient records, and following up on delinquent accounts.
Researches costs associated with purchasing equipment and supplies to ensure the most advantageous price is obtained
Monitors daily production/monthly production and recommend changes if needed to achieve financial goals daily
HUMAN RESOURCES
Conducts the new hire orientation process
Maintains Personnel Policy Manual, administers policies and staff benefit programs as written, updates policies and distributes to staff as needed
Trains support staff in their respective positions
Manages employee time-off/requests
Conducts semi-annual employee reviews with the doctor
Advises doctor on performance or behavioral problems with staff and participates in performance evaluation or disciplinary counseling meetings
Establishes and maintains employee personnel files at all times
Ensures all required employment, payroll, and benefit documentation is obtained from staff and maintained in the proper files
Assures that staff maintains applicable licensure or certification, including CPR training
Termination of employees when necessary with thorough documentation
MARKETING
Sends out solicitations
Assists the employer with developing a marketing program to maintain the financial welfare of the practice
Participates in community events
Proactively watches and manages online reviews from all sites (Yelp, CitySearch, Google, etc)
Works with GLD on internal marketing promotions and incentives for office and staff
SUPERVISING RESPONSIBILITY
Front office personnel, RDA(s) (Registered Dental Assistant), Hygienist(s)
The Office Manager is responsible for the overall productivity and profitability of the office while maintaining the Grand Lake Dental brand and vision of the company
REQUIREMENTS:
3+ years experience working in a professional setting in either a sales management or retail management environment
Previous experience in a role demonstrating leadership skills, customer service and personnel supervision
High School diploma or equivalent required
Excellent verbal and written communication skills and the ability to make decisions independently
Previous experience handling conflict resolution and providing immediate solutions
Demonstrates the ability to build relationships, both internally and with patients
Bachelors degree preferred, but not required
Dental experience preferred, but not required
Ability to maintain professionalism and composure when exposed to stressful situations.
Ability to work cooperatively with patients, staff, and management.
Ability to collect data, establish facts, draw conclusions, and maintain confidentiality.
Ability to express and communicate thoughts and ideas competently.
May be required to administer CPR
