Seasonal Administrative Assistant Job Opening in Middleton, Wisconsin - POSITION SUMMARY: The Seasonal Administrative Assistant will provide administrative support to the tax team to facilitate timely input of incoming tax returns and timely assembly and distribution of completed tax returns to the client. This position will greet clients and answer incoming phone calls. This position will perform a variety of general office duties to support the smooth operation of the tax preparation process.
ESSENTIAL DUTIES:
Greets clients and takes their tax information for processing.
Scans client?s tax information into computer system ensuring that documents are readable when scanned and uses defined file name convention for scanned documents.
Enters data from scanned document to ensure that the tax preparer can properly read the data.
Answers phones, directs call, and takes messages as required.
Reviews tax documents and returns in computer system to verify there are no returns that are overlooked.
Prints, assembles, and mails client?s tax return when finished by preparer. Verifies that assembled source document are all related to specified client.
MINIMUM QUALIFICATIONS (Experience, Education, and Special Certifications)
Three years relevant work experience in an office environment, preferably in a public accounting office.
Experience working in a paperless office where most documents are scanned and stored electronically.
Proficient at operating a computer, copier/fax/scanning machine, and other office equipment.
Proficient with computer software applications, preferably Microsoft Word, Excel, and Outlook and automated accounting information systems required.
Proficient and accurate data entry and computer keyboarding skills with a minimum of 50 wpm with no errors required .
KNOWLEDGE, SKILLS, AND ABILITIES
Broad knowledge of office procedures and processes and operation of office equipment.
Proficient and accurate data entry and computer keyboarding skills with a strong attention to detail.
Ability to handle, work with, and maintain confidential and sensitive information
Ability to articulate ideas and information verbally and in writing in a clear, tactful, and diplomatic manner.
Ability to interact effectively and professionally with internal and external individuals.
Proficient and accurate keyboarding skills.
Ability to find fulfillment and enjoyment in repetitious tasks.
Ability to work independently and meet work deadlines.
Ability to create and work on documents in various computer software applications efficiently and accurately.
Attentive listening skills to understand and interpret with people are communicating.
Efficient organizational skills.
