Summary of Position: Responsible for financial reports and accuracy of financial data. When no supporting account position is available, responsible for bookkeeping entries.
Minimum Qualifications: Bachelor's degree in Accounting preferable. 10 years financial experience from bookkeeping to financial management. Must understand full charge bookkeeping standards, basic definitions, and bookkeeping accounting practices.

Responsible for daily bookkeeping data entry. Receive, enter, schedule and print checks for invoices/payments. Receive, process and deposit client payments. Update cash report and run bank reconciliation to ensure books are current. Scan and file all documents received via mail or email and processed in the days work.
Responsible for month end bookkeeping. Generate, submit for approval, post and email/mail invoices for retainer clients. Review timesheets and expenses posted for month end and generate billing worksheets from Workamajig a web-based agency management program specific to our agency industry. Generate invoices from billing worksheets and process them according to account manager directions. Create and email/mail statements for past due clients. Contact past due clients as needed for payment forecasting and collecting. Create client payment plans if/when needed and follow through on the plan. Work with clients to revise invoices as needed to suit their billing specification needs. Reconcile bank, credit card, trades, receivables, deposits and payables accounts. Calculate commissions and profit sharing bonus for employees after all invoices are posted for the month or quarter respectively. Responsible for cash flow management, line of credit, making payments to vendors, media, utilities, and other. Use bill pay, ACH, credit card, print checks for owners to sign or manage auto withdrawal payments and process them through Workamajig.
Responsible for end of year financial preparations1099s generated and mailed. Consolidating and delivering all tax documents to CPA. Journal Entries to correct account distributions prior to submitting the books for taxes and after filed at the request of the CPA. Closing all year end reconciliations and sealing the books after taxes have been filed. Assist owners with Budgeting annually and creating a budget vs. actual report regularly for review and tracking. Assisting with forecasting and "what if" scenarios and regular marketing/sales ROI reports.
Responsible for Human Resources duties. Preparing and submitting timesheet reports to outsourced payroll services. Entering and reconciling payroll reports, deducts, bonuses, etc. Responsible for weekly Sales and forecast reports from Workamajig for the sales team and keeping Google spreadsheet current for ongoing tracking.
Tools: Position is heavily reliant on access to a reliable computer if working remotely. Requires internet access to use Workamajig software, Asana, email, office shared Google calendar and drive. Must have a smartphone in order to be reached at any time (generally during weekday business hours) and to access the internet sites remotely.
