Position Summary
The Property Manager is accountable for protecting, maintaining, and enhancing the value of our assets in order to maximize our financial return, and works on property for the benefit of the tenants and the community as a whole. This is accomplished by coordinating the community's operational activities, leasing, and marketing. You will represent the property owner to both the tenants and the public. The Property Manager is ultimately accountable for all property operations. This team member accomplishes objectives set forth by the Corporate Asset Manager and Property Owner. These objectives include maximizing occupancy levels and property values. In addition, the you will train and supervise the Leasing Agents as well as the Maintenance Supervisor.
Responsibilities
Conduct all business in accordance with company policies and procedures, Fair Housing, Americans with Disabilities Act and all other laws pertaining to housing.
Ensure all rents are collected when due and posted in a timely manner.
Make sure all bank deposits are made immediately and deposits are reported to the Corporate Office on a daily basis.
Perform evictions, utility cut-offs, and landlord liens as required on delinquent rents.
Constant communication with the Maintenance Supervisor regarding vendor/contractor work, scheduling, billing, relations, and certificates of insurance.
With the Corporate Human Resources Manager, hire and terminate employees as needed.
Train, motivate and supervise all on-site staff in order to achieve operational goals of assigned property.
Ensure lease files are completed and executed properly.
Responsible for office opening per schedule, and for the condition of office and model apartments.
Maintain records on all aspects of management activity on a daily, weekly and monthly basis.
Periodic inspections with residents of move-ins/move-outs.
Physically walk and inspect property on a regular basis; check on vacant units.
Coordinate with maintenance and make-ready staff to ensure timely recondition of apartments after move-out.
Monitor all maintenance activities.
Conduct market surveys monthly and provide trend report information.
Shop competition and be aware of neighborhood market conditions.
Perform additional tasks or duties as assigned by the Corporate Asset Manager and Property Owner.
Demonstrate a positive, professional, and client-oriented attitude about the company with coworkers, tenants, clients, and the public whether contact is by mail, telephone, email, or in person. Constantly strive for improvements in work processes to achieve results which meet corporate expectations.
Focus to assure that our efforts are fully met and residents expectations are exceeded in the following areas: loss prevention, risk management, safety/security, maintenance, marketing, landscaping, etc.
Administration of budgets, operational review, and analysis of corrective action needed. Recommend and implement programs which contribute to community profitability.
Approve leases on each tenant including promptly reviewing new leases, reviewing all tenant billings, analyzing lease clauses, preparation of vacancy reports, enforcing tenant compliance, and performing landlord obligations. Identify leasing prospects and occasionally respond to routine leasing inquiries.
Maintain complete and accurate property files and records with an emphasis on documentation for future reference. Coordinate with headquarters support staff on company procedures for processing and distributing information. Provide prompt, detailed and accurate general status reports on all properties assigned.
Coordinate collection and documentation of all revenues following lease obligations of tenants and the owner's policy on accounts receivable. Collect delinquent accounts promptly. Communicate with accounting department to ensure accuracy of rent roll and accounts receivable.
Develop a network of emergency services and be available for 24 hour/weekend coverage as required. Develop specifications and continually evaluate service needs and performance in all areas of maintenance and management. Forecast and manage replacement of major capital expense items including HVAC system, roof systems, parking lot surfaces, etc.
Provide a team approach to the management of real estate. Establish and maintain collaborative working relationships between departments, with coworkers, and particularly with other members of a project team. Prepare for team meetings, in advance, and act as chairperson for the meeting.
Keep abreast of new technologies, systems and procedures related to property management. Travel as assigned ( minimal ).
In addition to the above, other job duties as needed, required, or assigned, within the scope of your background, experience, and skills.
KSA
Must have property management experience with a successful track record of accomplishments.
Must have YARDI experience.
Excellent computer skills. PC literacy is required, including spreadsheets. Ability to analyze a monthly financial statement and prepare detailed budgets and operating forecasts. Ability to note deviations from financial plan, determine causes, and provide recommendations to the owner on needed action plans.
At minimum, specialized training is required, including course work in real estate or property management or leasing is preferred. CAM, CSM, CPM, or RPA designation is helpful. Bachelor?s Degree in Business Administration, Accounting, Finance, Real Estate, Public Administration, or related field preferred.
Three years? experience in property management is required. Must have good knowledge of real estate including a broad understanding of finance, leasing, legal, marketing, construction, and tenant relations. In absence of a bachelor's degree, five year's experience plus associate's degree.
Strong written and verbal communications skills. Ability to understand and carry out industry specific written and oral direction. Positive, innovative approach to problem solving. Must be able to present ideas in a clear, concise, understandable, and organized manner; negotiate, persuade, and modify opinions in order to reach the goals/objectives of the organization.
Ability to work independently as a project leader and as a team member. Ability to work in an organized, efficient manner with a high level of accuracy, attention to detail, and follow-through.
Ability to exercise judgment and discretion is critical to success.
