Operations Assistant (PRIM&R, Boston, MA) Job Opening in Boston, Massachusetts - OVERVIEW: Public Responsibility in Medicine and Research (PRIM&R), an educational nonprofit organization based in Boston and dedicated to advancing the highest ethical standards in the conduct of biomedical, social science, and behavioral research, seeks a full-time Operations Assistant . Founded in 1974, PRIM&R accomplishes its mission through education, membership services, professional certification, public policy initiatives, and community building, and has a diverse membership of 4000+ individuals representing all 50 states and 40 countries. PRIM&R is conveniently located in Boston's historic Back Bay, within walking distance to several transportation options, the Public Garden, and a variety of restaurants. RESPONSIBILITIES: The Operations Assistant supports the execution of PRIM&R?s core program activities by providing top-notch customer service and by coordinating event registrations, membership applications, and internal operations. Responsibilities include but are not limited to:
Operations (estimated to be 50% of effort)
Serves as front-line member of customer service team, responding to phone and email inquiries
Assists with billing, invoicing, and other accounting-related projects
Keeps inventory of office supplies, manages ordering process, and keeps public office areas (kitchen, supply and mail rooms) in order
Serves as liaison with building management (e.g., security, maintenance, etc.) and equipment vendors
Trains new staff on PRIM&R?s office and phone procedures
Assists with HR related functions (e.g., coordinate professional development calendar, manage Fun Committee, etc.)
Completes other projects, as needed
Registration (estimated to be 40% of effort)
Processes registrations, including cancellations and
Creates and updates registration forms
Responds to registrant inquiries by phone and email
Takes on other special projects related to PRIM&R?s events, including managing shipping; invoicing; and sourcing and ordering supplies
Membership (estimated to be 10% of effort
Answers membership-related inquiries via email and phone
Processes membership payments, including upgrades from conference registrations
Sends membership receipts, confirmation emails, and invoices
Assists with data entry (unsubscribes, do not mail processing, event set-up)
QUALIFICATIONS: The position requires an intelligent and responsible individual with demonstrated attention to detail and exemplary customer service skills. The successful candidate has the ability to multi-task and to work independently as well as collaboratively; possesses excellent organizational and communication skills (oral/written; in person and over the phone); and has a track record of problem solving. 1-2 years related experience in a fast-paced, deadline driven, customer service and/or office environment is required; nonprofit work experience helpful, but not required; college degree preferred. Dedication, enthusiasm, a positive attitude, and a committed work ethic are also a must. Experience with Microsoft Office Suite is required, proficiency preferred. Experience with CRM databases and accounting functions preferred. Occasional overnight travel may be required to assist at PRIM&R events.
