Part Time Office Clerk/Receptionist Job Opening in Omaha, Nebraska - Part Time Receptionist will provide phone support for the company as well as first point of contact for subcontractors and other clients. This position is responsible for secretarial, clerical and administrative support, as required, ensuring that multiple office functions are completed in an effective, efficient and professional manner.
Part Time Receptionist duties and responsibilities
Main Activities
Professionally greet, direct or assist subcontractors and incoming clients as appropriate.
Receive, direct and relay telephone messages.
Prepare outgoing US Mail with appropriate postage.
Coordinate Courier, UPS and Federal Express incoming and outgoing deliveries.
Print emails relating to Accounts Payable invoices or contracts.
Research invoice information utilizing Timberline Accounting System.
Maintain the general filing system and filing of all invoices and contract related documentation.
Assist with opening US Mail for sort and distribution. Date stamp all general correspondence.
Provide word-processing and secretarial support for all company employees as requested.
Part Time Receptionist additional responsibilities
Assist Accounts Payable staff:
Providing various tasks relating to weekly issuance of disbursements.
Support as needed for various research or finalization of information in Timberline Accounts Payable System.
Maintain spreadsheets for Registered Contractors for the State of Nebraska, updating annual renewal information.
Pursue W-9 information for new vendors providing goods or services.
Organize incoming Plans, Specs and Addendums. Manage detailed check-in and check-out records.
Assist Accounting Assistant with bank deposit and other duties as needed.
Other duties as assigned.
Qualifications
Education ? High School Diploma or equivalent.
Skills ? Accounting or Bookkeeping knowledge and Microsoft Office Proficient.
Abilities ? Verbal and written communication skills. Filing proficiency required. Multiple phone line competency.
Other characteristics ? Professional attire and ability to interact with the public and office staff necessary.
Experience ? Prior experience in office management or similar business knowledge desired.
