Job Summary:
The EA to the CEO handles a wide range of administrative and executive support-related tasks, with the ability to work independently with little or no supervision. She or he must be a highly-resourceful team player, who is comfortable working in a fast-paced environment, with all levels of internal staff, as well as outside clients, while remaining flexible, proactive and efficient.
Ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. Discretion and confidentiality are of the utmost importance.
Responsibilities:
Responsible for managing all executive-level administrative duties including day-to-day schedule, answering/screening phone calls, travel itineraries, T&E reports, composing and editing correspondence, scanning and maintaining permanent files
Update and distribute sales proposals/quotes for potential clients
Monitor, screen, respond to and distribute incoming communications
Serve as gatekeeper and gateway for CEO in both internal and external environments
Edit, update and maintain highly confidential vendor, loaner agreements and legal documents
Collaborate closely with senior management on all human resource functions ? recruitment, interviewing, on-boarding of new employees, performance reviews, processing of terminations, maintaining personnel files and tracking of company property
Act as liaison between company and healthcare broker to facilitate employee healthcare needs (enrollment, termination, etc)
Proofread all marketing materials and various documents for grammatical errors prior to distribution
Tradeshow, meeting and event logistics with onsite execution
Fill in at front desk as needed
Requirements:
Bachelor?s degree
Minimum of 5 years? experience supporting C-suite executives
Minimum of 3 years? experience in human resource positions
Strong proficiency in MS Office applications and QuickBooks
Customer Relation Management software (CRM) knowledge
Excellent written and oral communication skills
Ability to exhibit discretion and maintain confidentiality
Ability to travel
Must be fluent in English (written & verbal)
Must provide written references upon request
