Bookkeeper Job Opening in Toms River, New jersey - Growing security and life safety integration company is looking for an experienced Bookkeeper to assist with A/R, A/P, and other key tasks. Three years? previous experience with QuickBooks required in a security low voltage industry or construction industry required.
Job responsibilities include:
Always maintain a high level of professionalism both in manner and appearance
Providing exceptional customer service to all current and new customers
Maintain confidentiality of all Company and customer passwords, data and other information that you will have privileged access to
Accounts payable and accounts receivable
Reconcile vendor statements, invoices and credit cards without discrepancies
Maintaining organized accounting policies and procedures and document such into an SOP Book
Entering and closing service, inspection and proposal slips on a daily basis
Following up with operations when needed to ensure all paperwork is accurate and submitted on time and can be closed out
Setting up new customers in databases
Record keeping/database maintenance: Keep customer contacts up to date in databases, tracking them and forwarding data to staff as needed
Setting up and maintain customers/jobs in QuickBooks and maintain accurate and updated customer notes on actions taken
Creating A/R invoices and prepare for mailing/e-mailing
E-mailing invoices as needed
Assessing monthly interest charges mailing/e-mailing as appropriate
Billing monthly memorized transactions
Following up with customers for payment status at a minimum of on a weekly basis and maintaining detailed notes and handle invoice questions and complaints
Setting up and entering memorized transactions
Accounts Payable billing in a timely manner including verification of received parts, correct charges, RMA, warranty items, credits and other related functions and the handling of billing disputes and grievances
Maintaining all customer reoccurring contracts and ensuring they are complete and in compliance and are accurately notated in databases and binders
A/P and A/R reports as needed
1099s
Researching projects as needed
General clerical work (printing, filing, faxing, organizing, scanning, copying)
Providing support to the Sales Manager / Director of Operations / Vice President / President
Must be proactive, detail orientated and organized
Must be able to meet deadlines
Must be computer literate
This position does require sitting for long periods of time (90%+). This position requires the applicant to learn an industry specific software program. This position reports directly to the owner(s).
Experience Required
Managing a multi-line telephone system with multiple calls coming in at once
Microsoft Office ? Word, Excel, Microsoft Outlook
QuickBooks
Software Experience Preferred
Alarm 7 SQL
QuickBooks POS and Desktop and how data flows
Hours M-F 7:30am-4:00pm.
