Primary functions of this position:
Administrative support for the Forest Engineering, Harvesting and Land Use departments for the South Valley Operations, located in Goshen, Oregon;
Effective working relationships and communications with South Valley?s team members, contractors and other operating and admin teams within the Western Timberlands business and with outside agencies and general public;
Promotes and demonstrates safe work practices;
Works effectively in a team environment to most efficiently achieve goals;
Exercises initiative and works with minimal supervision to provide professional administrative support with a focus on accuracy, prioritization and meeting deadlines while maintaining timely core work.
This is a full time, non-exempt position, with salary dependent on skills and experience.
Core work includes:
Preparing and managing a high volume of engineering and harvesting contracts, land use permits and payments which requires expertise with general accounting procedures and utilizing Weyerhaeuser computer systems;
Processing, reconciling and tracking of payments, contracts, safety hours and incidents in spreadsheets requires a high degree of skill in Microsoft Excel and proficiency in Word;
Process incident reports and safety hours requiring working knowledge of SHIM?s database;
Preparation of contracts requires managing ticket books (distribution and tracking), preparing job safety sheets, verification of state notifications, and assisting with the Pre-Harvest checklists;
Assist with computer and printer issues, ordering supplies, managing PCards, and providing support of daily check-in/checkout board and Company radio communication;
Provide back up support during special projects or other duties as assigned;
Responsible for maintaining engineering, harvesting and land record files; Issue land use access permits and keys;
Track revenues, assist in lease renewals, handle routine correspondence and respond to general inquiries from the public about Weyerhaeuser policies; Management of communication flow (phones, walk-ins, monitoring company radio, and mail as communication liaison);
Scheduling and meeting preparation; Maintaining team records such as safety training, team meeting notes, expenses, project time, etc.;
Support of contractor safety meetings.
Qualifications
High school diploma or GED;
Minimum of five years? experience providing professional administrative support with high volume work load;
Requires expertise in Microsoft Excel with preferred candidates having proficiency in Access Database and Weyerhaeuser programs such as CAPS and LIMS, with a working knowledge of SHIMs;
Proficiency with Word and Outlook required;
Demonstrate a high degree of initiative, common sense, and willingness to "flow to work?;
Job requires the ability to work with frequent interruptions while maintaining a high degree of accuracy, meeting deadlines and using good judgment.
Excellent verbal, written and listening skills including ability to deal with public concerns in a sensitive manner;
Strong grammar, spelling and proofreading skills;
Ability to shift priorities and manage time effectively, completing a variety of work with changing deadlines;
Motivated self-starter with the ability to plan, organize and prioritize their tasks while working independently.
Maintain positive attitude with willingness and desire to be creative, expand knowledge, skills and competencies;
Must be flexible and able to provide multi-faceted support to professionals with varied work styles;
Possess excellent organization skills with high standards for quality, accuracy, timeliness and attention to detail;
Demonstrate excellent job attendance;
Ability to handle confidential and proprietary materials with discretion;
Ability to safely drive/operate vehicles to travel to other locations;
Knowledge of forest industry, real estate and/or experience with reading and interpreting maps, deeds, easements and other land title documents is desired.
Successful completion of post-offer physical and drug screen.
