Summary of Position
The Payroll Specialist is responsible for day to day payroll functions, including the maintenance and processing of employee payroll on a weekly basis. Responsible for performing tasks to establish and maintain payroll records, calculating and recording payroll deductions, processing terminations, maintaining payroll and related records, recording the accumulation and use of vacation, sick, holidays, and miscellaneous leaves of absence, processing involuntary deductions such as levies and garnishments, administering a variety of voluntary deductions, preparing special reports for management as needed, and ensuring compliance with federal and state laws regarding payroll taxes. The Payroll Specialist/Jr. Staff Accountant is responsible for reconciling all payroll and benefit accounts.
Position requires an individual with discretion and trust who can courteously communicate with employees regarding questions, issues, and payroll discrepancies. The individual in this position is responsible for ensuring the proper and timely processing of the payroll in accordance with prescribed internal policies and external regulations.
The Payroll Specialist reports to and assists the Controller with various functions.
Essential Duties and Responsibilities
Timely and accurate processing of weekly union and non-union payroll for 50+ employees, garnishments, benefit audits, benefits, certified payroll, payroll taxes, required weekly and monthly reporting and other payroll related items
Generate and review weekly certified payroll reports
Reconcile general ledger accounts related to payroll and benefit plans to supporting details from Navision and other third-party providers
Calculate and prepare journal entries related to payroll and benefits
Ensure accounting transactions follow generally accepted accounting principles and company policies
Work with the Controller on key payroll and benefit initiatives
Prepare monthly, quarterly, and annual tax returns
Prepare audit documentation relating to assigned general ledger accounts
Other duties as assigned
Required Experience
4-5 years accounting experience, preferably in construction, with knowledge of payroll processing
Prevailing Wage / Certified Payroll experience Required
Manual Payroll entry required
Advanced Excel skills required (pivot tables, v-lookups)
Proficient personal computer skills, including Microsoft Office
Customer Service Mindset (interacting with various levels within the organization in various geographies)
Oral/Written Communication ? Communicating effectively and appropriately despite the situation
Ability to maintain the highest level of confidentiality
Ability to work independently
Ability to work in a team fostered environment
Ability to prioritize and organize work
