We are a boutique consulting firm that specializes in the marijuana industry here in Portland, Maine. With over 215 clients currently under our management in the medical marijuana industry, we are now looking to extend our services to the newly formed adult-use marijuana industry. Our managing partners have over 10 years of experience guiding businesses in this field through business management, strategy, and tax consulting. They also frequently give lectures as industry experts for municipal and business seminars throughout the State.
Summary
Our consulting firm needs a reliable, organized Office Assistant to manage the day-to-day administrative aspects of running the business. The successful applicant will have a positive attitude, a desire to work as efficiently as possible, and excellent client-facing communication skills. If you have worked in a fast-paced office in the past and you enjoy establishing your own organizational systems, we?re excited to talk with you. This job may include some overtime as well as occasional weekend work. We?re looking for someone who can operate effectively with little or no supervision and who can manage multiple tasks at once without becoming overwhelmed. Responsibilities
Report directly to the managing partners of the firm
Greet customers or other personnel of the firm by phone, in person, or through electronic media, including email
Assess the needs of customers and provide information concerning the services, procedures, and guidelines of the firm
File documents; develop and modify filing practices ? this includes the usage of electronic in addition to paper records
Process applications or forms to ensure completeness and accuracy
Schedule travel arrangements for managing partners, when applicable
Attend State and Municipal meetings with managing partners
Light accounting duties
Create, edit, and update spreadsheets, notes, word documents, and presentations
Qualifications and Skills
Bachelor's degree preferred but not required
At least 1 year of direct customer service experience
Familiarity with mobile technology and Microsoft (Excel, Word, and PowerPoint)
Familiarity with Quickbooks preferred
Strong interpersonal communication skills
Takes initiative when given more responsibility
