Administrative Assistant Job Opening in Birmingham, Alabama - Construction Office Manager Job Description
JOB RESPONSIBILITIES INCLUDE:
Working directly with the Office Staff (PM?s, Estimator, Accounting, Field Crew) assisting with multiple and varied tasks.
Answering phones, fielding customer questions, intake of new job information, taking and distributing messages.
File system management. Keeping all office documents filed (, organized and maintained. Managing all jobs in our project management software program. Moving and tracking physical files throughout the office.
Assisting with job costing all projects prior to invoicing.
Assisting with project invoicing, and bookkeeping of receipts/bills in QuickBooks.
Assisting with monthly collections and tracking.
Preparing and submitting payroll.
Tracking worker certification books to ensure compliance with state regulations.
Assisting HR with varied tasks as needed.
Creating weekly memos from PM/Operations meetings to distribute to staff.
Assisting with scheduling calendar management.
Writing surveys.
Running errands as needed.
General office upkeep and organization, including cleaning, ordering office supplies, etc.
APPLICANTS MUST HAVE THE FOLLOWING SKILLS TO BE SUCCESSFUL IN THIS POSITION:
Highly organized with a strong attention to detail.
Intermediate knowledge of Microsoft Office applications, especially Excel and can learn new software easily.
Experience with QuickBooks and Smartsheet a plus.
An understanding of the industry.
Competent, outgoing, and possess an ability to talk to clients with confidence and ease.
Dependable and able to show up to work on-time every day with no excuses.
An ability to think/act fast in an office that can sometimes go from calm to crazy in a matter of seconds.
A willingness to put yourself out there and offer help even if you're not asked to.
A great sense of humor and ability to make us laugh is a big plus!
