The Role:
The Administrative Assistant will be responsible for a variety of tasks including, but not limited to, filing, data entry, accounts payable, time sheet tracking, supply acquisition, account reconciliation, travel arrangements, inventory control, shipping, some state report and tax filing, running errands for office and CEO as needed, and basic research. This position is to provide assistance to the Senior Administrative Assistant who's responsibilities cover tasks in the following areas; accounting, marketing, office management, operations, sales/project management etc. We are looking for a smart, resourceful, and driven individual who has a solid work ethic and a can-do positive attitude. This position can be high pressure and high stress. As a small company it is important that all of our employees be willing to jump in and lend a hand where needed.
Desired Skills & Experience:
Flexibility and a willingness to take on new tasks as needed (You will never be bored!)
Knowledge of and ability to utilize Microsoft Office Suite
Knowledge of and ability to utilize Adobe Creative Suite (Photoshop, InDesign etc.)
Technical proficiency with both PC and MAC (you will need to be able to do basic technical support)
Detail oriented and highly organized
Experience using HTML/CSS desired
Ability to apply logic to a variety of situations and solve complex problems
Ability to work independently and be a self starter
Ability to learn independently, follow written instructions, and research solutions on your own.
Knowledge of and ability to utilize Quickbooks software
Typing at 45WPM or higher
Knowledge of and ability to utilize multi line phone system
Excellent communication and interpersonal skills, both written and verbal
Ability to deal with stressful situations calmly and professionally
Ability to work closely with team members with various skill sets and levels of experience
3+ years of experience in a combination of the following areas is desired (, Sales/Marketing, Office management, Operations, assisting, Inventory management, Technical Support)
1+ years of experience as an executive assistant is desired
A minimum of an associates degree is desired (or equivalent credits in a relevant discipline).
Aviata Inc. is an equal opportunity employer. Compensation DOE/TBD, salary range starts at $15 hourly. Sick leave/PTO provided. Position is full time/approximately 40 hours weekly Monday-Friday 9am-6pm. Reliable transportation is required.
