Admin/Office Mgmt/Secretarial Job Opening in Naperville, Illinois - We are a professional services Firm located in the western Chicago suburbs that prides on a high level of client service. Our services include tax, financial, and consulting services to a unique mix of clients. We have the following position available for an enthusiastic self-starter to provide efficient office services. This position requires a proactive, 'go getter' type candidate that takes interest in the Firm services with a focus on quality client service. The candidate must display clear verbal and written communication skills.
ATTENTION TO CANDIDATES:
CANDIDATES MUST HAVE CERTIFIED PUBLIC ACCOUNTING (CPA) OR SIMILAR PROFESSIONAL SERVICES FIRM EXPERIENCE.
PART TIME POSITIONS WILL BE CONSIDERED.
1) LOOKING FOR CANDIDATES WITH 2 TO 10 YEARS EXPERIENCE.
2) CANDIDATES SHOULD POSSESS A WORKING KNOWLEDGE OF MICROSOFT OFFICE SKILLS, BE TECHNOLOGY SAVVY, FAMILIAR WITH A NETWORK ENVIRONMENT AND NAVIGATION , CLIENT PORTALS, AND PROFICIENT WITH INTERNET AND WEB NAVIGATION SKILLS.
JOB DESCRIPTION
SALARY RANGE: 28,000 to 36,000
Office
- Handling incoming calls, demonstrating good rapport with clients, prospective clients, and vendors.
- Assisting staff members with administrative tasks in the form of scanning, printing, copying, faxing, mailing, including training and directing professional staff for optimal productivity (acting as a ?Go To? Person) and focus on office efficiency.
- Maintaining office organization including supply management.
- Creating, editing and reviewing a wide variety of documents for appropriate communications and workflow ? letters, memos, PowerPoint presentations, pdfs, brochures, spreadsheets.
- Assisting with HR functions such as employee benefits and payroll.
- Coordinating travel arrangements, continuing education seminars, monitoring of annual requirements for Continuing Professional Education for staff.
- Creating and maintaining Firm manuals, involvement with marketing strategy.
Bookeeping and Time and Billing
- Accounts Payable, Accounts Receivable and daily bookkeeping for the Firm.
- Managing credit card statements and monthly reconciliation.
- Maintaining proper documentation and timely payment of vendor invoices.
- Generating reports for client, managing time and billing, monitoring customer receipts.
- Client invoices?experience with managing Work In Process (WIP), billing and clearing of time.
Tax and Investment Assistance
- Assisting with tax software tasks ? including managing tax organizers, e-file status, authorizations, adding/removing users.
- Responsible for organization of client files on the network.
- Assisting with investment documentation, compliance and communications.
General Skills and Requirement
- Proficiency in MS Office 2016 and Office 365 (Word, Excel, PowerPoint, Outlook), Fox IT Phantom (for pdf), Linked In, Twitter, Web navigation and applications.
- Proactively managing office technologies, equipment and maintenance.
- Clear and polished skills.
- Good organizational, review and multi-tasking skills. Capable of working in a fast-paced environment. Proactive thinking and high attention to detail and procedures.
- Able to serve as a role model for other employees in relation to professionalism, teamwork, maturity, attitude, work ethic and confidentiality.
Preferred Skills Must have working knowledge of Quickbooks for entering receipts and expenditures, familiarity with Sage 50, tax software like Prosystem fx tax (CCH) is a plus. Language skills - Bilingual skills is a plus due to our diverse client base.
