We are looking add an Office Manager to our staff of Management professionals.
Office manager responsibilities include scheduling meetings and appointments, making office supplies arrangements, fielding phone calls, greeting visitors and providing general administrative support to residents. Previous experience as an Office Manager and/or Bookkeeper would be an advantage. A successful Office manager should also have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative and bookkeeping duties to ensure the office runs effectively and efficiently.
Responsibilities
Serve as the point person for office manager duties. Duties include Fielding Phone Calls, Accounts Payable, Accounts Receivables, Payroll, Maintenance requests, Mailing, Supplies, and Equipment
Completes payments and controls expenses by receiving, processing, verifying, and reconciling invoices.
Charges expenses to accounts and cost centers by analyzing invoice/expense reports; recording entries.
Pays vendors by monitoring discount opportunities; verifying federal id numbers; scheduling and preparing checks; resolving purchase order, contract, invoice, or payment discrepancies and documentation; insuring credit is received for outstanding memos; issuing stop-payments or purchase order amendments.
Maintains accounting ledgers by verifying and posting account transactions.
Schedule some vendors
Organize office operations and procedures
Manage contract and price negotiations with office vendors and service providers
Manage office Payroll, ensure accurate and timely reporting
Provide general support to visitors
Assist in the on boarding process for new hires
Requirements
Proven experience as an Office manager and/or Bookkeeper in an Apartment Industry setting is preferred
Proficiency in Quickbooks, MS Office (MS Excel and MS Outlook, in particular)
Hands on experience with office machines (e.g. fax machines and printers)
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills in a fast-paced environment
Job Type : Full-time M- F 10am-6pm
Salary : 52,000 per year
