Position Description
Position: Director of Sales Department: Sales
Reports To: Chief Operating Officer FLSA Designation: Exempt
Position Summary :
The Director of Sales is responsible for maximizing the occupancy and the average daily rate of the hotel, while upholding excellent guest service and accommodations to all guests. The Director of Sales manages the sales effort and supports the General Manager on operational issues.
Primary Responsibilities:
Guest Retention :
Director of Sales acts as the most visible representative of what Silver Cloud Inns & Hotels offers.
Special requests, complaints and guest concerns are handled quickly and efficiently.
Director of Sales is available to interact with guests during Continental Breakfast and Wine & Cheese receptions.
Frequent Guests :
Director of Sales will know individuals by name and establish a professional rapport with the Frequent Guests to develop an awareness of generated volume and special requests and/or needs.
Outside Sales:
Director of Sales is expected to make 10 ? 15 personal sales calls each week and adequate qualifying calls to schedule personal calls and site visits (often 50 solicitation calls per week).
Sales calls and presentations to travel agencies.
Regular thank you calls to show appreciation to top accounts and to make sure we are meeting guest expectations.
Fiscal Administration :
Preparation and implementation of annual Marketing Plan and Budget, which includes the budgeted occupancy and average daily rate goals and a complete market analysis.
Coordinates between the sales department and hotel operations as the Director of Sales and General Manager are both equally accountable for hotel revenue performance.
Completes monthly revenue variance report with General Manager as a joint effort.
Director of Sales will conduct ongoing competitive analysis of rates and amenities by property site inspections and call around reports to identify Silver Cloud Inns? strengths and weaknesses.
Weekly revenue management meetings, along with the administration of a yield management program, are the joint responsibility of the Director of Sales and the General Manager.
Hotel Operations :
Participates as part of the management team in conjunction with the General Manager.
Provides feedback and follow up training on guest service & sales topics.
Assists in periodic inspections of guestrooms, meeting rooms and public areas for aesthetics and cleanliness. Copies of inspection reports should be forwarded to the Executive Housekeeper, Maintenance Supervisor and General Manager.
The key functions include:
Develops, solicits and negotiates individual, group and/or meeting room bookings through direct sales calls, trade show attendance, special promotions, lead follow up, sales blitzes, direct mail and telemarketing.
Participates in associations, committees and community events to develop new and existing sales contacts.
Assists in RDP reservation input and updates.
Prepares sales proposals and letters to clients in a timely and accurate manner. Negotiates rates and prices within the established goals of occupancy and average daily rate. Maintains documentation of all proposals, correspondence and contracts related to prospective sales and sales accounts.
Facilitates the loading of negotiated rates on the Global Distribution System and verifies property and rate visibility with travel agents.
Conducts site inspections to prospective clients. Inspections should include individual room types, meeting room space and recreational facilities.
Prepares Weekly Sales Activity Reports for submission to the Chief Operating Officer. Report will reflect all key sales activities for the period, special projects and recaps of ongoing sales efforts.
Prepares Forecasting Report three months out and updates month end with actual figures, company tracking, and variance report for comparative purposes.
Attends and actively participates in Director of Sales meetings, sharing marketing/sales activity at his/her property and ideas for future growth of Silver Cloud Inns & Hotels as a group.
Keeps current on local hospitality markets and trends which could have an effect on future sales and informs management of such information for use in developing sales strategies and future planning efforts. Utilizes STAR report to measure occupancy, average daily rate, and revenue penetration against local competitors.
Attends seminars/workshops, as needed, to improve skills and to maintain and improve motivation level required in a sales position.
Communicates group information by completing a group resume, which should be distributed to all department heads.
Qualification Standards
Education:
High School graduate or equivalent, college experience preferred.
Experience:
Outside sales experience in the hospitality industry preferred.
Licenses or Certificates:
No special licenses required.
Grooming:
All employees must maintain a neat, clean, and well-groomed appearance.
Other:
Additional language skills helpful.
