Job Description
The Safety Specialist, under direction of the Safety, Compliance and Training Manager, is responsible for complex technical DOT safety compliance & analysis. The primary focus of this position is to gather supporting documents such as on-boarding documentation (i.e. contracts, vehicle inspections, insurance certificates, vehicle titles, empty scale tickets?) and other DOT compliance documentation in order to stay in compliance with company policies, DOT compliance, FMCSA requirements and PHMSA regulations. The position requires an understanding of the Federal Motor Carrier Safety Regulations and documents that are commonly used by motor carriers in the furtherance of trucking operations.
This is an administrative position responsible for the collection, organization, review and audit of safety records necessary to support various risk management and regulatory compliance programs.
Gather monthly maintenance records for CMV equipment. This requires making contact with CMV drivers on a daily basis via phone, text, and email.
Communicate with district managers and CDL drivers to gather missing maintenance reports and other supporting documentation.
Data entry all repair invoices.
Create reports to show repair cost.
Revise our preventative maintenance program.
Make outbound calls to drivers on discrepancies found or missing documentation.
Assist in DOT Driver Qualification Files including contacting CMV drivers regarding expiring DOT documentation (i.e. medical card, CDL, gas monitors, vehicle inspections?).
Review background verifications, motor vehicle records, and PSP reports on CDL driver applicants.
Send notifications to CDL drivers and district managers on upcoming expirations (medical card, CDL, & TWIC expirations).
Perform fast and accurate data entry of CDL driver and vehicle maintenance information into Google Sheets.
Contribute to team effort by handling related duties as needed.
Train CMV drivers during orientation and safety meetings on safe driving, vehicle inspections, and driver fitness.
THIS POSITION REQUIRES MULTIPLE PHONE CALLS, TEXT MESSAGE, AND EMAIL NOTIFICATIONS.
Qualifications
High school diploma (or equivalent) required.
Associate degree preferred.
One to three years of prior experience in a clerical support or customer service role.
Transportation or Safety Department experience preferred.
Preference given to those with one year of prior DOT Safety/Compliance working experience.
Knowledge of DOT regulatory compliance and the transportation industry a plus.
Managing the installation and technical issues with Electronic Logging Devices.
Knowledge of Hours of Service Regulations is preferred.
Monitoring and auditing drivers hours of service.
Ability to conduct driver interviews.
Must have MS Office Skills with above average skills in MS Excel.
Ability to work in a fast-paced environment.
Demonstrated ability to set up and type accurately and with a reasonable speed, a variety of reports and spreadsheets - MS Excel experience required.
Must have MS Office Skills with above average skills in MS Excel.
Problem solving in a calm professional manner.
Type/keyboard 35 words per minute net.
Learn, interpret and explain policies, procedure, rules and regulations.
Ability to add, subtracts, multiply, and divides in all units of measure, using whole numbers, common fractions, and decimals.
Ability to write routine reports, correspondence and must be able to deal with people by phone and in person.
Internet navigational skills.
Understand telephone functions and answers/returns calls in a courteous and timely manner.
