Accountant Job Opening in Sturgeon Bay, Wisconsin - SUMMARY
Under the direction of the Executive Director, the Accountant is responsible for the day-to-day accounting operations; coordinating month-end financial close, including preparation of monthly financial statements; and maintaining financial records and reporting in accordance with non-profit GAAP. The Accountant is responsible for the overall success of the organization by effectively managing all financial tasks for the organization.
The Accountant audits cash receipts daily from multiple Museum locations and enters all data in QuickBooks and Excel spreadsheets. The Accountant processes all accounts payable and maintains and monitors a variety of focused/restricted Museum accounts and completes bank reconciliations. The Accountant also prepares financial information for the annual financial audit.
The desired individual will have advanced experience with QuickBooks, experience working in the non-profit setting, an outgoing and friendly personality, demonstrates professionalism and tact in communications with a diversity of individuals, has strong organizational and time management skills, pays acute attention to detail and works well with the Museum staff, volunteers, and directors. This position is based at the Door County Maritime Museum facility in Sturgeon Bay, Wisconsin.
RESPONSIBILITIES AND DUTIES:
Financial Management
Maintain an accrual basis general ledger in accordance with non-profit GAAP
Maintain an active chart of accounts
Provide monthly financial statements, applicable financial analyses and related reports and schedules
Preparation of annual operating budget with Executive Director, staff and Finance Committee members
Set policies for internal controls and institute ?best practices? for financial functions within the Museum
Evaluate existing processes utilized in Accounting for accuracy, integrity and efficiency
Serve as point-person for various department accounting inquiries/needs
Track and file all contractual agreements between Museum and outside parties
Handle daily, monthly and year-end financial adjustments and reporting issues
Secure and maintain Museum?s financial records in compliance with tax, legal and financial records retention requirements
Record and track contributions and pledges receivable related to the Museum?s fund-raising campaigns
Actively manage outstanding accounts receivable
Optimize the utilization of Museum resources
Assist with event coordination where required, including financial reporting, coordination of cash needs and event profit reporting
Ensure proper financial reporting of Stores activity including gross profit determination and inventory valuation
Assist with safeguarding of Museum assets including inventory; property, facilities and equipment; artifacts
Work closely with the administrative coordinator and director of development to ensure accounting accuracy on a variety of focused/restricted accounts
Keep accurate records of all Museum account activity and alert Executive Director of any discrepancies or essential actions
Treasury Management
Securely maintain treasury assets including cash and credit facilities
Arrange with Bank for required treasury management services including depository, disbursement and Fraud prevention
Arrange with Bank for credit facilities including line of credit, credit cards, etc.
Perform monthly bank account and credit card reconciliations and present adjustments to Executive Director
Payroll
Management of payroll functions
Management of employee benefits on behalf of Museum [403(b)]
Track employee vacation, holidays, sick and personal time to ensure compliance with employee policies
Maintain compliance with all Federal, State and local reporting requirements of Human Resource related matters including payroll, benefits, taxes and reporting
Accounts Payable & Expense Reimbursement
Review and post all account payable transactions
Manage vendor authorization and processing
Issue checks weekly for bills and employee reimbursements
Fixed Assets
Review and manage fixed asset accounts and related schedules
Assist in securing custody of Museum?s physical assets
Taxes
Work with external tax accountant and auditors in preparation and timely filing of annual tax and information returns
Oversight in timely filing of the Museum?s annual tax-exempt returns [WI Form 1952, IRS Form 990]
Maintain compliance with all Federal, State, and local tax requirements and reporting including Sales/Use, Payroll related taxes, etc.
Investments and Endowment
Create and process monthly journal entries for investments activity
Ensure proper tracking and reporting of all investment activity related to both market fluctuation and Investment Committee decisions
Review earnings analysis on a semi-annual basis with the Investment Committee and the Board of Directors
Risk Management
Monitor risk management policies and procedures to ensure that program and organizational risks are minimized
Maintain and oversee required insurance policies and riders
Coordinate risk management reviews and oversight with Museum?s risk management provider
Committee Support
Provide monthly financial statements, financial analyses and supporting schedules to the Finance Committee before meetings
Develop and publish meeting agenda in advance of committee meetings
Maintain and publish meeting minutes for committee meetings
Grant Management
Responsible for budget tracking and financial reports for grants
Assist colleagues in the development of budgets for funding requests
Miscellaneous
Proactively maintain highly organized filing system and maintain required records retention; Files invoices, payroll paperwork, reimbursements and other financial records.
Demonstrate a high level of professionalism in dealing with confidential and sensitive issues
Assist in the development and implementation of systems and procedures as needed
Assist with special projects and perform research and analyses as assigned
Actively participates in Museum activities
Perform other duties as assigned by the Executive Director
SKILLS AND ABILITIES:
Advanced proficiency in QuickBooks a must, along with knowledge of QuickBooks Online
accounting experience a plus
Proficiency in Windows operating systems; Microsoft Office Suite 2013, including Outlook, Excel, Word, PowerPoint; Google Docs, Internet Explorer, Microsoft Edge
Excellent verbal and written communication skills
Strong organizational, problem-solving, and analytical skills; ability to manage priorities and workflow
Strong mathematical skills
Strong interpersonal skills
Ability to deal effectively with a diversity of individuals at all organizational levels
Good judgment, with the ability to make timely and sound decisions

EDUCATION AND/OR EXPERIENCE:
Bachelor?s degree in Accounting, Finance or equivalent; three to five years? related experience; or equivalent combination of education and experience
