Executive Coordinator Job Opening in Reno, Nevada - Strategic Purpose of Position
This position primarily provides oversight of all logistical, project and administrative support to the Operations Manager.
Responsibilities
Proactively manage Operations Manager?s varied obligations from senior leadership, staff, external relationships, team commitments and Board.
Align OM?s priorities with incoming requests to effectively plan ahead so key priorities are met.
Ensure project planning methods are used when necessary to track OM?s projects.
Assist with meeting planning with regards to tactical organization of meetings, calendars, and project management software.
Assist with office special events.
Calendaring of staff and OM?s meetings, obligations and important communications.
Maintain tools to effectively manage OM?s outreach and meetings.
Support OM?s internal and external communication.
Coordinate OM-led events as directed by OM or member of Senior Management Team.
Review all document uploads each day for accuracy. Pay attention to organization of documentation and purging of documents as needed.
Responsible for restructuring asset tagging of company assetsand work with accounting on the acquiring and retiring of equipment.
Assist in the coordination of the outsourced IT team, as well as assisting with basic in-house problems.
Work to convert documents for meetings, upload to website, and create Web-Ex meetings each month.
Assist the CFO and Operations Manager with administrative duties.
Special projects and other duties as assigned.
Position in Brief
Position duties include, but are not limited to meeting coordination and support, travel logistics, event coordination and tactical organization of meetings, special events and calendaring, document management support, database management, asset tagging, IT management support, presentation preparation, work with website content and website upload, and responsible for assisting in all verbal and written communication for Operations Manager. Position may, also at times, assist the Chief Financial Officer. Position will work closely with the Operations Manager, Administrative Team and entire staff as needed.
Personal Qualifications
Excellent interpersonal relationship management skills, self-motivated, team player excited to work for a fast-paced team. Ability to manage multiple projects and follow through in a timely manner, excellent communication skills with internal and external staff, client?s, boards and stakeholders. Strong aptitude to see and manage varied projects and effectively coordinate across projects to ensure synergies are leveraged and projects are not dropped. Attention to detail and a dedication to accuracy. Excellent writing skills with impeccable grammar cognition. Resourceful, proactive, reliable, trustworthy, and assertive when necessary. Ability to handle confidential information in a professional and discrete manner.
Professional Qualifications/Work Experience
Bachelor?s Degree required. 3-5 years previous experience as an Executive Assistant working with Sr. Management. Advanced Word, Excel, PowerPoint, Outlook, and internet skills essential. Basic Accounting and IT experience helpful.
