Mid-Level Legal Administrative Assistant & Word Processor Job Opening in Denver, Colorado - Summary
Under direct supervision, supports the delivery of quality legal services to clients by secretarial and administrative support to assigned attorneys, paralegals, or other timekeepers while working collaboratively and cooperatively with others in a team-oriented environment.
Essential Functions
Document Preparation: Knowledge of legal terminology and legal document formats in order to read, interpret, prepare, revise, and finalize legal documents; originate, revise, and finalize correspondence, memoranda, timesheets, and project work as directed; proofreads to ensure accuracy of formatting, grammar, punctuation, and syntax; prepares revisions and redlines to documents as directed; ability to use transcription equipment and decipher handwritten drafts; prepares documents for e-filing and files documents with the appropriate courts; preparation of notebooks and exhibits; may prepare docket entry forms for incoming and outgoing court papers and to document specific actions required for legal proceedings and personal or firm requirements.
Technology: Type approximately 60 net words per minute; must be proficient in Microsoft Office (Word, Outlook, Excel, PowerPoint), Adobe Acrobat Pro, iManage, Elite, and DocuSign (or similar document management and time entry programs); strive to become proficient in new technology rollouts and willingness to attend trainings and demonstrate mastery of technology skills.
Agencies: Demonstrated knowledge of court rules and procedures as they apply; coordinates service and filing of all court documents, including individual subpoena service; communicates with courts on a regular basis in order to comply with specific procedures and rules.
Files: Coordinates preliminary conflicts checks with records management to ensure attorney and firm ability to represent requesting party; creates, maintains, and disposes of client and firm files following appropriate guidelines as directed; coordinates with Records to create and maintain files and indexes, both paper and electronic.
Finance: Enters timekeepers? time into the Elite time entry system to meet established schedules; prepares expense reimbursement and disbursement requests; prepares billing letters and submits bills to clients; communicates with clients regarding payment schedules and past due payments; coordinates with the accounting department on all other financial matters.
Calendar: Maintains and updates calendars for assigned timekeepers, including meetings, appointments, deadlines, and client related activities; coordinates scheduling of and assists in preparing for appointments, meetings, and conferences.
Travel: Coordinates travel arrangements for timekeepers and clients with Christopherson Business Travel; prepares itineraries and travel expense reports.
Administrative Support: Answers and screens telephone calls; greets clients and handles routine client matters as directed by timekeepers; processes incoming and outgoing mail, including arranging special mailings and courier services with Office Services; operates a variety of office equipment including computers, telephones, copiers, fax machines, and calculators; coordinates with Office Services for supplies, mail, and copy room.
Teamwork: Ability to effectively communicate and work cooperatively with attorneys, staff, clients, coworkers, and vendors; proactively demonstrates effective teamwork and provides assistance to other assistants as time permits; operates as a backup assistant when needed; analytic ability to apply knowledge to practical applications and to foresee possible problems and effective solutions.
Miscellaneous: Ability to effectively and efficiently support three to five full-time, or the equivalent to, timekeepers; maintains confidentiality of all client and firm information; ability to work independently and effectively under time; requires minimal supervision; willingness to meet the requirements of the position, accepting a wide variety of assignments as called upon; demonstrate skills in organizing and prioritizing multiple tasks; demonstrate reliability and willingness to work in a complex environment; other duties as assigned.

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, telephones, copiers, fax machines, and calculators.

While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; talk or hear. The employee must occasionally lift or move office products and supplies, up to 20 pounds.
Position Type and Expected Hours of Work
This is a full-time, benefit eligible position. Days and hours of work are Monday through Friday, 11:00 a.m. to 8:00 p.m.
Required Education and Experience
High school degree or equivalent and some years of legal secretarial experience or equivalent.
Preferred Education and Experience
A bachelor?s degree and 3 to 7 years of legal secretarial experience.
Additional Eligibility Qualifications
Notary Public; Legal Assistant or Paralegal Certificate.
