Front Office Administrator Job Opening in Phoenix, Arizona - ARC TEC Inc., an established architectural firm in Phoenix, Arizona and San Jose, California, has an immediate opening for the following position in our Phoenix Headquarters:
ARC TEC Inc. is a dynamic and expanding architectural firm with full-service offices both in Phoenix, Arizona and San Jose, California. Our headquarters is located in Phoenix off Hwy 51 near 32nd Street and Shea Boulevard.
We are looking for a highly motivated, energetic individual who enjoys the fun, fast-paced environment of architecture and look forward to working with exciting developer, corporate and high technology clients. F Primary Function: Assists the staff in all project and marketing administrative functions. Responsible for providing excellent client service by handling incoming calls in a high volume professional environment.
Responsibilities
Represents the firm in a professional manner.
Answer phones and directs inquiries to the appropriate staff. Clear understanding of the importance of ?first impressions? and the ?face of the company? responsibilities.
Accurately and thoroughly deciphers telephone calls and messages for staff.
Greets all visitors. Informs staff that they have guests.
General administrative duties including but not limited to copying, faxing, filing, stocking paper/toner in printers, etc.
Receive overnight deliveries, unpack, and distribute to staff. Check the printer/fax for distribution.
Maintains comprehensive administration filing system.
Send out overnight and courier requests via appropriate vendor.
Keeps up to date and proficient about telephone usage, scheduling and completing complex calls such as conference calls, Web-Ex, and Goto Meeting. Understand and proficiently operates the telephone system functions.
Computer inputting and processing of data.
Receive mail, distribute and/or forward to corporate accounting as appropriate.
All other duties as apparent or assigned.
Assist Office Manager with the following: ordering of office supplies, maintain office cleanliness, and errands and dropping off shipments.
Responsibilities (Architectural)
Prepare and processes project correspondence and documentation.
Prepare presentations and associated marketing materials.
Process and distributes submittals/shop drawings and maintains submittals/ shop drawing logs.
Process and distributes RFI?s and maintains RFI logs.
Maintains architectural filings as defined.
Qualifications
High school diploma required, college education preferred.
A minimum of two years prior experience as a support. Experience within a design/ construction firm environment highly desired.
Ability to work in a fast paced, deadline driven environment as a team player.
Ability to keep confidential information private.
Listening, reasoning and organizational skills required. Detail oriented.
Excellent verbal and written communication skills.
Able to handle multiple tasks efficiently.
Software proficiency required in: Microsoft Office, Knowledge of Axium Ajera desired.
Readily adaptable to changing conditions or demands.
