Office Manager Job Opening in Grafton, Wisconsin - Position Summary: Big Brothers Big Sisters of Ozaukee is an equal opportunity employer seeking an energetic, conscientious, and detail oriented Office Manager who enjoys making a difference, being part of a team, and takes pride in their work. This individual must also enjoy performing a variety of duties and working in a fast paced office. This 22 hours a week position is responsible for two functional areas of agency operations including providing high-level customer service and support services through effective verbal and written communication and maintaining accurate records and documentation relating to board operations, financial records, donations, and disbursement of agency resources.
JOB :
Provide high-level customer service and office management:
Respond to all phone, email, or in-person agency inquiries in a professional and courteous manner while effectively promoting Big Brothers Big Sisters of Ozaukee?s mission.
Complete volunteer and child phone inquiries, schedule enrollment interviews, and assure appropriate and timely transfer of information to program staff
Maintain office administrative paper and electronic files
Maintain a clean, organized, and welcoming office environment
Provide administrative support to Executive Director, Board of Directors, and program staff
Update and ensure the accuracy of the agency?s donor and special events databases and mail lists
Assist with the planning and execution of all fundraising and special events. Maintain accurate records for each event. Provide support and pertinent information to fundraising committees
Periodically review and update agency website and social media mediums
Monitor major donors contribution websites, record, and acknowledge all donations
Assist with preparation of the Agency Annual Report
With the Executive Director, prepare and compile supporting materials for distribution at Board of Directors and Advisory Board meetings
Assist with Financial Management:
File, organize and maintain information necessary to complete Annual Independent Audit and all federal and state filing requirements
Use computer accounting software to prepare invoices and financial statements
Process accounts payables and receivables ensuring timeliness and accuracy of information according to agency policies and procedures
Prepare accurate bank reconciliations and deposits
Monitor and record all online and/or credit transactions
Assist with financial reports as required
:
High School Diploma, Associate Degree preferred
1-3 years of experience in an office setting preferred
Experience with Microsoft Office Suite and QuickBooks
Requires strong communication skills, both verbal and written, organizational skills, both analytical and problem solving, attention to detail, and the ability to work with confidential documents.
Ability to manage multiple tasks and achieve deadlines under pressure.
