Program Coordinator Job Opening in Portland, Oregon - The Program Coordinator will support the Program Manager and Program Director in the day to day operations of the company. As a member of the Horizon CME team, the individual in this position will aid in the implementation of a broad spectrum of live and online CE activities including but not limited to: seminars, symposia, grand rounds, conferences, teleconferences, web-based conferences, journal supplements, newsletter articles, webcasts and other web-based activities.
Candidates must be highly-motivated individuals, possessing excellent written and verbal communication skills, strong attention to detail, solid judgment, and a high degree of adaptability. In addition, the individual must have strong computer skills, effective organizational skills, and the ability to work independently juggling multiple priorities at once.
Essential Functions:
Flexibility and reliability within multiple job duties and the ability to learn quickly; must be self motivated with the capability to work effectively in a small, unstructured office environment with minimal day-to-day supervision.
Perform administrative tasks including but not limited to: answering phones, filing, faxing, photo-copying, scanning, proofreading, data entry, management of official documents, etc.
Assist with execution of program implementation, including but not limited to: development and adherence to timelines, conference call scheduling, program venue research and scheduling, etc.
On-site program management; it is expected that the individual will be available for travel, including weekend travel as needed.
Initiate, maintain, and respond to correspondence with CE program faculty members, partnering companies, and key stakeholders as needed
Act as sole point person for all external CE program faculty members coordinating travel arrangements and post-program follow-up in order to maintain necessary communication and meet deadlines.
Create presentations and program materials from content provided by the Medical Director, Program Manager or collaborating partners.
Collaborate with Horizon CME colleagues to develop innovative program structures/avenues of delivery to expand the reach of Horizon CME and stay in the forefront of the continuing education industry.
Various other duties including but not limited to research, accounting, and a variety of ever changing tasks.
Required qualifications:
College degree in a related field
Quick learner and bright; able to perform multiple duties simultaneously
Proficiency in Microsoft Office Suite
Experience in program management, event planning, or editorial field
Professional communication skills, both oral and written
Very high attention to detail
Strong organization and prioritization skills
Demonstrated effective time management skills
Tolerance of ambiguity and flexibility within job responsibilities
Willingness to upgrade skills as needed
Demonstrated ability to work without direct supervision
Highly self-motivated, resourceful, and flexible
Ability to retain and coordinate information from multiple sources
Capable of receiving constructive feedback
Commitment to task completion and follow through on instructions
Positive, can-do attitude
Preferred Qualifications:
CHES certification
CCMEP certification
CME experience
1+ years of experience in an administrative position
Healthcare/ Pharmaceutical experience
Familiarity with the policies and standards of the ACCME as well as all other relevant guidelines including FDA, OIG, and PhRMA
Understand medical terminology
Job Type: Part-time
Salary: $18.00 to $19.00 /hour
