Office Administrator Job Opening in Chicago, Illinois - Position Description
The primary role of the Office Administrator is to perform administrative and office support activities for the Executive Director as it relates to Finance, Operations, and Marketing & Development. Duties range from finance and accounting to marketing and communications, as well as event, membership, donor follow-up. More specifically, the Office Administrator is responsible for carrying out the following duties:
Finance
Perform basic bookkeeping responsibilities: tracking income, making bank deposits and completing monthly bank reconciliation under the supervision of the Executive Director
Administer invoicing to funding sources and other billing and procurement activities
Perform basic human resource activities: preparing payroll, generating checks for vendor supplies.
Operations
Oversees office supplies, ordering them as needed and keeping track of inventory and vendors.
Oversees use of office space by staff and community, ensuring a schedule is maintained for meeting areas.
Perform basic technology systems updates and support
Marketing & Development
Create, maintain and update the database for membership fees and keep track of renewal dates; send out dues reminders to members.
Perform improvements to the organization's website and content management systems.
Design marketing and communication materials for events and other development efforts when needed
Create, maintain, and update a donor mailing list and database which respects the privacy and confidentiality of donor information
Work closely with managerial staff to ensure contact lists are updated, working group lists are up-to-date, and correspondence is sent out to relevant individuals and organizations
Executive
Manage the day-to-day communications and calendar for the Executive Director
Education, Experience, and Skills
Bachelor?s or Associate?s Degree in Business, Human Resources, or a related field
2-3 years experience in Office Administration or Customer Relationship Management
Extensive software skills, internet research abilities, and experience with data management
Proficiency with email marketing and social media tools
Strong personal communication skills
High level of self-motivation and ability to multi-task
High energy
Punctual
Detail-oriented
