Accounting & HR Coordinator Job Opening in Boston, Massachusetts - Accounting and Human Resources Coordinator US
The Accounting and Human Resources Coordinator will work closely with Sales, Professional Services and other internal stakeholders to manage the process of customer orders, invoicing, recording in accounting receivables and collections. This person prepares sales and customer reporting; assists Sales Team and customers regarding contracts? finalization and update. Moreover, this person manages the process of Human Resources and Payroll activities from new hire paperwork to bi-weekly payroll, expense reimbursement, commission, bonuses. This person also coordinates travel, as well as office maintenance and oversight.
The Accounting and Human Resources Coordinator, reporting directly to Finance and Human Resources Manager of BOARD Americas, will take responsibility for translating the corporate strategy into an operational plan focusing on problem solving while increasing profitability and productivity.
If you take the challenge you will be responsible for
Customer order : review customer orders for completeness, submit orders for account setup, Contract Management, provide operation support to new customers and interested internal contacts
Customer invoicing : create, record, e-mail/Mail
Customer receivables : deposit all customer checks and provide deposit information to the Finance manager, weekly phone calls and e-mails to all overdue customers, monthly statements to all customers with an open balance, provide support to Sales reps dealing with customer A/P departments
Customer reporting : revenue reports, create and send sales commission reports, maintain all customer files
Customer / Sales Support : assist with customer support efforts regarding key file, maintenance contracts, all other customer requests etc., marketing requests as needed (assistance with event planning, marketing material orders etc.), point of contact for all licensing and account issues (internal and partner)
HR payroll and related accounting
HR Travel : arrange travel needs, assist with coordination of annual international event, plan/ coordinate/execute annual holiday party
HR Insurance: administer, enroll and terminate as needed.
HR Expense Approval / Reimbursement
HR Support : coordinate on-boarding for employees, maintain employee files, provide support for all employee programs including corporate phone plan, corporate uber account, and other personnel benefits, assist with implementation of new services / initiatives
Office Management ? general upkeep, ordering of refreshments, furniture, supplies as needed.
Administration ? maintain all business files and perform all annual compliance documents as needed.
Support and backup to Finance and Human Resources Manager for : General Accounting, Financial Statement, Financial Reporting, Controlling, Banks, Tax and legal
What we look for
Sc or specialized in Business Administration with 2-5 years? experience in a similar role
Proven experience and a clear understanding of Accounting, Human Resources and Payroll. Preference if the candidate comes from a subsidiary of a multinational company; it is a plus if the previous company operates in the software business
Strong communication and cooperation skills to build a network within BOARD worldwide
First-class communication skills in American language, ability to operate professionally and effectively at all levels and comfortable working in a matrix organisation. Knowledge of Italian language is a plus
Excellent interpersonal skills, a flexible approach and ability to work under pressure
Experience in Navision, Excel (macro/pivot), Word or proven experience learning new software
Experience using ADP online payroll platform
Ability to work in the office in Boston everyday
