Sales Coordinator Job Opening in Tucson, Arizona - The sales coordinator is responsible for all aspects of arranging the administrative details of meetings, group bookings and volume-user sales coordinator functions as a liaison between clients and the hotel staff. He or she coordinates all aspects of group functions and distributes important planning information to department heads.
Responsibilities and requirements of a Sales Coordinator include (but are not limited to) the following:
Education: Have a high-school degree with some college or equivalent formal education.
Citizenship: Presents proof of United States citizenship or authorization to work in the United States.
Language Skills: Have command of written and oral English language skills.
Transportation: Have access to reliable transportation during business hours.
Equipment Skills: Able to use personal computers with keyboard skills of at least 50 words per minute and knowledgeable with computer word processing and database management.
Able to use calculators, multi-button telephones and general office equipment.
Personal Skills and Characteristics: Have a high degree of organization and communications skills. Have a professional demeanor. Have good initiative, work habits and flexibility.
Work Experience: Have worked with the public and in a position with clerical and administrative responsibilities.
Represent the hotel with enthusiasm, professionalism and businesslike appearance and demeanor to all hotel guests, clients, prospective clients, agents and to the community.
Be knowledgeable on all hotel features, amenities and services that affect guests' hotel experiences for the hotel and competitors.
Review and be knowledgeable of information contained in circulated management reports and financial statements.
Maintain the confidentiality of proprietary Company information, including, but not limited to, hotel performance statistics, information about agreements with clients, information about prospective business, hotel financial information and employee personal and salary information throughout and after employment by the hotel.
Assure that all group meetings and banquets are timely, meet all of the customers' expectations and meet our quality standards.
Maintain a strong, results-oriented work ethic; be cheerful and work in an organized manner.
Contact all group clients on the groups' trace dates to arrange for rooming lists, banquets and meeting events.
Provide clients with catering information when needed.
Gain the guaranteed cover count for all banquet functions, being certain that each client understands the banquet guarantee policy.
Maintain constant communication with the reservations department and the front desk regarding group arrivals, departures, cancellations, billing and special needs.
Coordinate between the client and the accounting department, direct billing and payment, when applicable.
Conduct hotel site inspection tours with prospective clients.
Prepare and distribute the Weekly Sales Report and all necessary signage.
Maintain a complete, accurate and confidential computer database of hotel clients and prospective clients.
Coordinate with the food and beverage department for the setting, service and cleaning of function rooms for banquets and meetings.
Review and adhere to all manuals and other policy updates.
Maintain files for advertising, trade-shows, special events and press releases.
Assist with making arrangements for trade shows and special events.
Prepare outgoing and internal correspondence for the sales department and general manager.
Maintain hotel files in an organized manner in accordance with hotel file maintenance policies.
Maintain neat and orderly office work areas.
Maintain adequate inventories of office supplies.
Attend staff meetings as directed by the Director of Sales.
Complete other assignments and perform other duties as directed by management.
