Internal Operations Manager / Office Manager Job Opening in Fargo, North dakota - Summary / Objective
Unseen works directly with 25 rescue organizations who are fighting human trafficking in 17 countries. These organizations look to us to help them expand their work through media and marketing assets, combined with effective fundraising training. As Office Manager, you ensure that the internal operations and office functions run smoothly in order to provide the best service and products to our partners--making a significant difference in the lives of vulnerable people.
Essential Functions
Office Management:
Maintain office services by organizing office operations and procedures, scheduling meetings, controlling correspondence, designing filing systems, reviewing and approving supply requisitions, and assigning and monitoring clerical functions.
Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement.
Design and implement office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments.
Complete operational requirements by scheduling and assigning employees and following up on work results.
Keep management informed by reviewing and analyzing reports, summarizing information, and identifying trends.
Establish and maintain relationships with third parties/vendors.
Maintain overall cleanliness of the office.
Schedule, organize, prepare documents, and take notes in staff, board, and other team meetings.
Occasionally delegate project tasks based on volunteers, interns, and other staff members? individual strengths, skill sets and experience levels.
Create and maintain office morale and culture through periodic office events, staff outings, and food surprises.
Additional duties as requested by the Executive Director.
Development:
Serve as the point person for logistics for fundraising events.
Coordinate internal resources and third parties/vendors for execution of events.
Schedule, organize, prepare documents, and take notes in planning meetings.
Delegate project tasks based on volunteers, interns, and other staff members? individual strengths, skill sets and experience levels.
Manage changes in event scope, schedule, and costs.
Manage online donor management system by adding new donors, adding donations and sending receipts, and creating reports for review and strategy.
Issue thank you notes and calls as applicable for donations received.
Develop a detailed project plan to track progress.
Finances:
Maintains financial services by preparing payroll, making deposits, paying bills, updating bookkeeping, and creating reports and financial dashboard for review.
Achieves financial objectives by preparing an annual budget, scheduling expenditures, analyzing variances, and initiating corrective actions.
Assist tax preparer to file Form 990.
Schedule, organize, prepare documents, and take notes in finance committee meetings.
Human Resources:
Work with third-party, ProResources, to implement human resource functions.
Prepare bi-monthly payroll and paid time off and leave requests.
Serve as the liaison between employees and ProResources.
Manage SIMPLE IRA benefits with third-party resources.
Required/Highly Desired:
1-3 years administrative experience.
1-3 years bookkeeping and/or accounting experience.
Experience working with entrepreneurs.
Excellent vendor-facing and internal communication skills.
Excellent written and verbal communication skills.
Solid organizational skills including attention to detail and multitasking skills.
Strong working knowledge of Microsoft Office Suite, Google Apps, eTapestry, Quickbooks.

Preferred:
Bachelor?s Degree in business, accounting, finance, or related field
Experience with relevant software including advanced Excel functions.

General
Supervisory Responsibility:
No direct supervisory duties, though management of projects/events includes directing project related activities of team members who are assigned to work on a given project or event, including volunteers and third party vendors.
Work Environment:
Office environment with possible occasional overnight travel.

Position Type / Expected Hours of Work:
Exempt position. Project Managers work a standard work week but may be required to work occasional evenings and weekends to meet project milestones, or due to events or international calls. Typical hours are Monday-Friday, between 8:00am- 5:00pm. 40-45 hours per week, occasional 50 hour work weeks during busy seasons.
