Office Assistant Job Opening in Prineville, Oregon - About Crook County Parks and Recreation District (CCPRD)
CCPRD is a special district governed by an elected Board of Directors and supported through a property tax levy, grants and other local and state funds. CCPRD owns and/or manages thirteen parks, a skating rink, the community pool and two campgrounds. We offer diverse recreation programs and classes for all ages and provide facilities for this purpose.
Position Description
The Office Assistant will work closely with the Business Manager. Provide support services and adherence to proper accounting and reporting procedures; prepare deposits; create reports; customer service, ordering, prepare outgoing correspondence and maintain office files.
Supervision
The Office Assistant reports directly to the Business Manager.
General Job Duties
Customer point of contact by phone and in-person; answer telephone; replay important instructions and messages
Perform general office duties such as; type letters, invoices and forms. Maintain office equipment (copier, fax, etc.). Order supplies for the district, sort mail, filing, etc.
Prepare various department deposits and reports
Maintains adequate supply of office materials
Completes yearly inventory of all office property
Maintain a clean safe working environment
Attend safety meetings; follow safety rules and procedures as outline in the policy manual
Assists when needed in preparation of seasonal recreation guide, class posters, etc.
Completes recreation program data entry (?ActiveNet?), class registrations, reports, class rosters, student records, and customer accounts
Complete park usage reservations, pool and skate rink party reservation and metal detector permits
Work extended hours (weekends or nights) when requested due to recreation activities and special events
Properly maintains Public Records
Responsible for being familiar with and following the District policies and procedures
Performs other job related duties as assigned
Assist/backup the RV Park when necessary, make RV Park reservations
Attend board meetings (2 per month, after hours) to take minutes and transcribe
Capacity Building
Assist the Business Manager, Recreation Coordinator and RV Park with tasks
Meeting Responsibilities
Attend training workshops as required
Attend board meetings
Minimum Qualifications
2 years of job related experience
Excellent customer service skills
Knowledge of Excel, Word, Publisher, Email, Square, Internet
Basic English and Math skills
Basic accounting skills
Ability to decipher reports and translate accordingly
Ability to multi-task
Ability to work in busy atmosphere at times
Ability to handle difficult or upset customers
Other Essential Knowledge, Skills and Abilities
Excellent organizational and prioritization skills
Strong verbal and written English communication skills (reading, writing, listening)
Strong inter-personal, and critical thinking skills
Ability to interpret and implement District policies and procedures
Commitment to cultivate a welcoming environment with a positive attitude
Ability to sit for long periods of time and to lift 20lbs
Taking meeting minutes and transcribing
Job Conditions
Work is performed primarily in an indoor environment. Regular work hours will be 10am to 5pm, Monday through Friday but can vary depending on time of year and to cover coworkers absences. Periodic travel to meetings, events and trainings is required. Some evening and weekends are required. Meetings and events may occasionally require overnight stays of more than two consecutive nights. The District maintains its status as an at-will employer. The District requires satisfactory results for certification verification as appropriate. Investigation of criminal background and employment history will be conducted. Valid Oregon driver?s license with a good driving record are required. If an offer of employment is made it will be contingent upon review and acceptance of the policies and procedures contained in the CCPRD policy manual.
Compensation
This is an hourly position and is subject to overtime requirements. The starting pay is $11.67/hour. Employee wages are paid once a month.
