Office / Sales Assistant Job Opening in Glendale, Arizona - This position will start off running through a Temp Agency, and could potentially lead to being hired on with the company on a full time basis.
Seeking an enthusiastic bi-lingual experienced Office/Sales Assistant who can organize daily office activities. This role will work directly with the sales and office teams to ensure that all the administrative and support functions are operating effectively. If you enjoy working in a fast-paced, dynamic team environment and have prior office experience, we want to hear from you.
Answer main office line and emails, and direct to appropriate parties.
Manage the reception area and entry area to ensure our front space is consistently neat, organized
Make sure customer orders are processed timely and execute all customer sales orders received from the sales team, maintain a proper follow-up of these activities.
Confirm that all required documentation is received on new projects to include contracts, initial customer PO, and Schedule of values
Understand the flow of sales orders according to contracts and/or customers PO's, presales information and internal accounting guidelines
Proactively communicate with sales team and other internal departments to align ongoing sales activity
Keep customer files and databases up to date
Maintaining inventory of office supplies to include ordering and stocking of supply closets.
Ordering and setting up pantry supplies for kitchenettes.
Sorting incoming mail and distribute as needed
Other duties may be assigned Requirements / Profile
Skills requirement:
* Excellent customer service skills
* Bi-lingual in Spanish and English is required
* Proficient knowledge of Microsoft excel and Word
* Minimum of 2 years in a full time billing or customer service position
* Excellent written and verbal communication skills
* Ability to stay organized and to problem solve
