Executive Assistant/Project Coordinator Job Opening in fort wayne, Indiana - Executive Assistant/Project Coordinator A local family owned business seeks an upbeat and professional Executive Administrative Assistant. Below are the duties and responsibilities for this position. ESSENTIAL DUTIES: ? Manages all administrative support for the Owners acting as liaison for executive office. ? As the Project Manager centralize all the project plans and reports, and lead it forward to its successful completion, under the direction of Owner. ? Manages the activities of the Owners, including but not limited to daily monitoring of activities, coordinating events, handling schedule conflicts, travel arrangements, conference registrations. ? Works independently and within a team on special nonrecurring and ongoing projects. This may include planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, and creating brochures. ? Acts as liaison with other departments and outside agencies, including high-level staff. Handles confidential and ongoing routine information and explains policies when necessary. Serves as a representative to meetings when assigned. ? Establishes, develops, maintains and updates all systems for correspondence, meeting materials, corporate documents and other support information within determined deadlines, meeting quality standards. ? Performs all manner of desktop publishing for executive office, creating and developing visual presentations, typing and designing general correspondence, memos, charts, tables, graphs, business plans and all written communications disseminated from the executive office. Responsible for accuracy and clarity of final copy. ? Coordinates executive meetings to ensure they are well organized, all pertinent information is provided and chairpersons are prepared. Includes meeting notices, reminder calls, agenda creation, support materials, and room set-up. Attends meetings and records minutes as assigned. ? Manages conference registration and travel arrangements for staff. ? Develops and implements changes in executive office operations to assure the highest level of efficiency and effectiveness. EDUCATION: ? High School diploma/GED or equivalent combination of education and experience ? Associates degree in Business Administration or equivalent experience preferred KNOWLEDGE AND EXPERIENCE: ? Establishes, develops, maintains and updates all systems for correspondence, meeting materials, corporate documents and other support information within determined deadlines, meeting quality standards. ? Performs all manner of desktop publishing for executive office, creating and developing visual presentations, typing and designing general correspondence, memos, charts, tables, graphs, business plans and all written communications disseminated from the executive office. Responsible for accuracy and clarity of final copy. ? Maintains working knowledge of the operation of all AV and electronic office equipment such as copiers, fax machine, telephone system, e-mail and other computer software. ESSENTIAL SKILLS: ? Initiative, reliability, resourcefulness, dependability, and maintenance of confidential matters. ? Professional appearance ? Personable and diplomatic manner in dealing with others. ? Ability to take control without taking over. ? Excellent word processing and PowerPoint computer skills with high level of professional standards ? Walking, standing, bending, stooping, reaching, moderate lifting and carrying (up to thirty (30) pounds). ? Full range of body motion including manual and finger dexterity and eye-hand coordination. ? Requires corrected vision and hearing to normal range. ? Ability to sit at a computer work station for extended periods of time. ? Occasional need to stand for long periods of time. ? Ability to focus on detail and accuracy of work product. ?
