Job Summary:
This position includes responsibility for acting as an order liaison between the HJ sales representatives, onsite production management personnel, and accounting personnel from receipt of orders to deliveries.
Specific Responsibilities:
Assists Herff Jones sales representatives in resolving problems and/or making decisions relative to production capabilities and sales requests.
Edits ring service contracts.
Verifies tooling availability and orders tooling if necessary.
Forwards to order entry clerk for entry into Oracle system.
Verifies that artwork is in process on new rings accounts or designs.
Assures that artwork is approved by operations and sales representatives before tooling and manufacturing is started on new accounts or new designs.
Oversees editing on high school, championship orders and orders returned from the shop floor.
Communicates with Production Control Lead, Plant Superintendent and/or Plant Manager and/or Customer Service/Office Manager to obtain approval of rush production schedules and/or rush tooling schedules.
Submits paperwork to charge salesman's commission account for rush artwork, tooling, remakes, rush shipping expense or rush ring production schedules when applicable.
Reviews ring samples, usually wax, for approval. (via Wax approval form) and send to Sales Rep for approval when necessary and appropriate.
Tracks orders in production to insure timely completion and on time deliveries to our sales representatives.
Attends production control meetings/new business meetings to advise the Tool and Die Manager and Ring Production Control of delivery specific commitments.
Notifies sales representatives if a delivery commitment cannot be met. Works with the sales representative to achieve a more realistic (doable) delivery date.
Forwards new sample requests to sample department for entry. Be sure that all of the information (i.e. die numbers) is filled out on the sample request form.
Keeps a HOT LIST and works with production control to be sure they are aware of any orders that are needed and monitors their progress until completion.
Represents the Company to the sales representative in a positive, professional manner in all communications.
Edits specification forms for service contracts. If a new account is won, work with the accounting department to establish a customer number.
Forwards specification form to order entry clerk for entry into the Oracle system.
Checks new service contracts from order entry to ensure accuracy of mold numbers and descriptions; if all are OK contracts can be filed in the school file folder and returned to the filing cabinets.
Fills out advance deposit forms and charge commission forms. Forwards to Accounting department.
Works with Customer Service Manager, Data Processing, and production to help solve problems that may exist between order entry and factory hard copy receipt. I.e.: systems problem/data entry problem/contract problem
Attends conventions, conferences, and meetings as requested.
Continually coaches sales representatives on proper administrative procedures with the Plant.
Follows through with existing contract errors. Researches factory receipts of orders?contact production supervisors and administrative managers.
Holds orders that need contracts adjustments until contracts clears systems.
For Championship Rings, provides sales representatives with price book nets (where necessary) and deep concession sell prices and commission levels in accordance with established policies. Monitors actual orders for compliance with deep concession program.
Works with all levels of Plant personnel to facilitate the necessary education, training, documentation and procedures to build a foundation for an integrated Total Quality Program.
Consistently follows up to ensure that delivery requirements are met.
Performs all other duties as assigned.
Minimum Qualifications:
An Associates degree or comparable work-related experience with ring/jewelry manufacturing and account management.
Ability to speak in a clear efficient manner.
Ability to follow through with strict paperwork requirements
Ability to communicate well with factory management, sales management, sales force and customers.
Ability to research and correct problems from mail table to shipment from the plant.
Knowledge of rings, how they are manufactured, and the availability of options.
Must be able to communicate via telephone, e-mail, fax and voice mail with sales reps and customers.
Must be able to work under stressful time commitments, especially during the busy pre-Christmas and championship seasons.
Knowledgeable of working with Microsoft Office programs.
